The Norwegian Refugee Council (NRC) is an independent humanitarian organization helping people forced to flee. We work in crises across 40  countries, providing emergency and long-term assistance to millions of people every year. We stand up for people forced to flee, advocating their rights. NORCAP, our global provider of expertise, helps improve the international and local ability to prevent, prepare for, respond to and recover from crises. Norwegian Refugee Council (NRC) ambition is to be a great safe and secure organisation to work for. To achieve this, we aim to provide high quality administrational support at the MENA Regional Office in Amman. The Regional  Health , safety and Security (HSS ) Officer – Middle East Office is responsible for the day-to-day administrative support to the Head of Regional HSS, and to the Regional HSS and Access Advisors at MENA RO . The HSSA Officer will provide administrative support for the Regional HSSA tasks in general

What you will do

 Generic Responsibilities:

  1. Provide administrative support for the Regional HSS and Access department.
  2. Assist with the administrational work with relevant HSS and Access documents, training, and events.
  3. Internal communication to MENA regional staff.
  4. Other tasks assigned by the Head of regional of HSS.

    Specific Responsibilities:

    1. Prepare and take minutes of HSS meetings .
    2. Support with organizing HSS and Access-related events, including workshops and seminars including first aid training and others as assigned .
    3. Conduct security assessments for newly identified apartments.
    4. Maintain the HSS training stock inventory.
    5. Raise procurement requests for necessary items and ensure they are purchased in timely manner relate to HSS department .
    6. Conduct security briefings and inductions for new staff and visitors.
    7. In coordination with the regional security advisors, draft and distribute relevant security advisories.
    8. Support in the context monitoring.
    9. Contribute to drafting relevant security plans for MENA Regional Office premises.
    10. Coordinate with admin team in ensuring NRC infrastructure are compliant.
    11. Maintain HSS share point pages and trackers up to date.

       

       

      Professional competencies, Qualifications & Skills required:

      • Minimum 2 years of relevant experience in administrative domain related to logistics , events management and clerk work preferably  in international  non profit organizations (INGOS) .
      • BA degree in administration , Disaster management , business administration or any relevant field 
      • ,Advanced Proficiency Level   in Arabic and English, Written , Verbal and Spoken .
      • High attention to detail and performance driven .
      • Excellent Computer skills knowledge iin Miorcrosoft Office programs ( Word , Excel , power point ..etc and kinolwdge in using outlook , share point and office 365).
      • Ability to work with diverse and inclusive environment and with remote based teams .

        Context related skills, knowledge and experience: 

        • Strong organisational and team working skills
        •  Demonstrate Diversity and Inclusion.
        •  Maintain confidentiality.
        • Ability to work with remote teams.
        • Knowledge of the INGOs operations and the dynamics of the humanitarian sector and working within complex and hostile environments is a plus.
        • Demonstrated experience in delivering trainings is a plus . 
        • Exposure to process administrative support within a Humanitarian context is a plus.
        • Basic knowledge in Health , safety and security (HSS ) Fundamentals with INGOS or Local NGOS is a plus,
        •  Being a certified first aider is a plus.
