 Context

Under the overall supervision of the Head of Sub Office in Istanbul and under the direct supervision of National Project Coordination Officer in Istanbul, the Project Associate will be responsible and accountable for assisting the implementation, monitoring and reporting activities of nationally developed programmes and projects with implementation in the Aegean Region.

Under the Istanbul Sub Office, the Izmir Field Office implements activities in Aegean Region including national programmatic areas such as Border Governance, Protection, Health, Labour, and Migration Data. 

The Project Associate will support on areas of implementation planning, monitoring and reporting, government liaison, stakeholder engagement in the Aegean Region to ensure that projects planned and implemented in the Aegean Region are coordinated with the Head of Sub Office and National Project Coordination Officer in Istanbul. The Project Associate will advise on new areas of growth for the Aegean Region in collaboration with key stakeholders in the region including government, academia, international organizations, UN agencies, non-governmental organizations and civil society.

  1. Assist in the implementation and monitoring of project activities. 
  2. Retrieve, compile, summarize, analyse, and present information/data on specific project topics.
  3. Monitor budget; verify availability of funds; obtain necessary approval and update budget related information. 
  4. Assist administrative coordination of project implementation, involving liaison with diverse organizational and programmatic units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions.
  5. Draft status reports, identifying shortfalls in delivery, bring them to the attention of the supervisor and suggest remedial actions.
  6. Draft correspondence on project issues; prepare and update reports and context specific information papers and briefing notes, meeting minutes, graphics, statistical tables, presentation and other forms of documentation.
  7. Respond to complex information requests and inquiries; set up and maintain files/records of all documentation; organize meetings, workshops and training sessions; 
  8. Assist organizing events with internal and external stakeholders including donor and field visits, government meetings, project steering committee meetings,
  9. Participate in meetings, inter-agency coordination mechanisms and conferences in Aegean Region; assist in coordinating implementation activities with local authorities, partners, United Nation agencies, implementing partners, intergovernmental and non-governmental organizations, donors and other stakeholders relevant to the projects and activities in the Aegean Region. 
  10. Assist in monitoring work of implementing partners and report non-compliances to the supervisor.
  11. Provides guidance/training to new/junior staff and facilitates peer to peer learning 
  12. Perform other related duties as assigned. Education
    • School diploma with five years of relevant experience; or,
    • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database.   Experience
      • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations. 
      • Ability to establish and maintain strong working relations with relevant government counterparts, international organizations and civil society organizations.
      • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
      • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage. 
      • Good knowledge of the broad range of migration related subject areas and programmes dealt with by the Organization in Aegean Region and in the country,
      • Knowledge of UN and bilateral donor programming.
      • Familiarity with financial and business administration.
      • Ability to meet deadlines and provide quality deliverables 
      • Good communication, organizational and interpersonal relationship skills   Languages
        • Mandatory: Fluency in English and Turkish (oral and written)
        • Desirable: Working knowledge of Arabic IOM’s official languages are English, French and Spanish.
