    JOB PURPOSE:


    To perform specialized and/or standardized policy and programme-related processes and activities to support the effective delivery of assistance packages.

    KEY RESPONSIBILITIES:

    The CPM Programme Assistant will support the Cooperating Partner Management (CPM) team by performing the following tasks:

    Partner Payment Processing

    • Collect and verify all required supporting documents for partner payments.
    • Create Service Entry Sheets (SES) in WINGS.
    • Match invoices and ensure all documentation is uploaded in the Invoice Tracking System (ITS).
    • Maintain accurate records of all payment-related documents.
    • Ensure that database is update and shared will all field offices every week.

      Support to CPC Meetings

      • Review budgets proposals from NGOs to ensure that they are align to WFP requirements and expectations.
      • Schedule CPC meetings with voting members, field offices, and activity managers.
      • Review data to ensure CPC recommendations are reflected before agreement signature.
      • Draft Notes for the Record (NFRs) within two days after each CPC meeting.

        Field-Level Agreement (FLA) Management

        • Initiate FLAs using the digital signing platform (Partner Connect).
        • Guide partners through the digital signing process.
        • Ensure all agreements are signed, stamped, and properly archived.
        • Monitoring of budget executions ensuring that provisional SES are posted on time, all required payment is proceeded, and PO are closed.
        • Analyze any discrepancy between invoice cleared and amount transfered to Partners.

          Document Tracking and Archiving

          • Register all signed agreements and related commitment data (e.g., PO numbers).
          • Track and archive partner evaluations (capacity assessments, performance evaluations).
          • Ensure all key documents are uploaded to Teams for easy access and reference.

            STANDARD MINIMUM ACADEMIC QUALIFICATIONS :

            EDUCATION

            A university degree in one of the following fields is required or highly desirable: Economics, Finances, Project Management, Accounting or Business Administration

            EXPERIENCE

            • Minimum of 3 years of relevant experience in working with the private sector, NGOs, or international organizations.
            • Experience in partner management or financial administration is an asset.
            • Previous experience with the UN or other multilateral agencies is an asset.
            • Must be a national of Cameroon.
