Work LocationUNRWA- Jordan Field Office Expected duration3 months (extendable) Duties and Responsibilities• Performs a full range of administrative and logistics support providing direct assistance to the Communication team; agenda development, scheduling and sending out invitations, booking of conference rooms and facilities, requesting access to visitors • ensuring effective communication and coordination; coordinates staff meetings, reserves equipment, and conference rooms for presentations and meetings. • Provides support to committees, ad hoc task forces, and other department-wide activities. • Monitors and manages annual and short-term requirements for office supplies, processes payments for vendors and suppliers; manages purchase requests, follows up on procurement processes; coordinates logistical preparations for workshops, conferences, and events. • Conducts routine research; gathers and compiles information, contacts organizations, departments, and media agencies to obtain information or coordinates activities as required • Assists in managing budget using ERP system, maintaining accurate records, and monitoring expenditures, suggests cost effective ways. • Verifies bills against set terms and conditions, ensuring accuracy and compliance; ensures eligibility of beneficiaries for services and coordinates timely data entry. • Assists in coordinating HR matters, including new appointments, separations, and overtime. • Translation from English to Arabic and vice versa (written and spoken) for all communication materials (Daily News/ Social media posts/ Success stories) as and when required (can be on daily basis). • Perform other duties as assigned by the Communication team Qualifications/special skills• Successful completion of University Degree in Business Administration, translation or relevant discipline is required • Two years’ business, office practice or written and spoken translation or related is preferable.
