Background:

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

The United Nations Women’s Peace and Humanitarian Fund (WPHF) is a partnership between the United Nations, Member States, and the civil society, which supports women led and women’s rights organizations working to build peace and provide humanitarian response throughout the world. Since the end of 2016, the WPHF has been supporting over 1,000 civil society organizations and is present in 43 countries worldwide. 

UN Women hosts the Secretariat of the Women’s Peace and Humanitarian Fund. The WPHF Secretariat provides support to the Funding Board, mobilizes resources from Governments, companies, foundations and individuals, designs funding windows and mechanisms, provides day to day support to Country Offices implementing WPHF programs, and ensures timely and quality monitoring and reporting. The Secretariat’s mandate is also to strengthen stakeholders’ knowledge of and engagement with women, peace and security issues through proper internal and external communications, advocacy and outreach. The Secretariat provides knowledge management services for the WPHF, and manages the Community of Practice (CoP) for WPHF partners and grantees. Finally, in April 2020, following the recommendation of the UNSG in his 2019 report on WPS, the WPHF Funding Board established a new Rapid Response Window (RRW) on women’s participation in peace processes, and in 2022, the WPHF launched a new funding window for the protection and participation of Women Human Rights Defenders (WHRDs).

Under the supervision of the Operations Specialist (P3), the Administrative Assistant supports WPHF Operations by performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Administrative Assistant promotes a client, quality and results-oriented approach. 

The Administrative Assistant works in close collaboration with the programme and projects staff and the Operations team to ensure consistent service delivery. 

Key Functions and Accountabilities

Provide general administrative and logistical support to the United Nations Women’s Peace and Humanitarian Fund (WPHF) in accordance with UN Women rules, regulations, policies, and strategies:

Arrange travel and hotel reservations, prepare travel authorizations, process requests for visas, identity cards and other documents, collect information for DSA, as required;   Provide administrative support to conferences, workshops, retreats;  Provide administrative support to property management;  Collect information on shipments, customs clearance arrangements, prepare documents for UN Women shipments (received/sent);  Maintain filing system ensuring safekeeping of confidential materials. 

Provide administrative support to WPHF and assets management:

Monitor and maintain office stationery supplies including maintenance of stock list of stationery, distribution of stationery and keeping a log of distribution, as required;  Maintain records on assets management and prepare required reports;   Maintain files and records relevant to office premises and related maintenance; 

Provide administrative support to knowledge building and knowledge sharing:

Facilitate trainings for the operations/projects staff on administration

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the WPHF and the Organization.

Recruitment Qualifications: 

Education and Certification:

Completion of secondary education is required.  Bachelor’s degree in Business Administration or related fields is desirable. 

Experience: 

At least 5 years of progressively responsible experience in administration, procurement, HR, or logistic support service.  Experience in the usage of computers and office software packages (MS Word, Excel, etc.) is required.   Experience in the use of ERP systems, preferably Oracle Cloud, is desirable. 

Languages: 

Fluency in English is required.  Knowledge of another official UN language is desirable (French, Arabic, Chinese, Russian or Spanish).
