This position is located in the Economics for Climate Change Unit of the Sustainable Development and Human Settlements Division. The Team Assistant reports to the Head of Unit. ResponsibilitiesUnder the supervision of the Head of Unit and the general overview of the Chief of Division the Team Assistant will be responsible for the following duties related to the execution of the ECLAC work area in the EUROCLIMA Programme: • Performs a wide range of office support and administrative functions for the Division • Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. • Prepares processes and follows-up on administrative arrangements and forms related to the official travel of staff to activities related to the EUROCLIMA Programme. • Drafts routine correspondence. • Maintains up-to-date work unit files (both paper and electronic). • Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit’s human resource activities, e.g., recruitment of staff, individual contractors and consultants, payments of services, ensuring consistency in the application of regulations and procedures. • Coordinates extensively with service units • Organizes and coordinates administrative and logistics support to seminars, conferences and workshops, processing travel of staff and meeting participants in events organized by ECLAC in framework of EUROCLIMA Programme. • Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling. • Assists in the preparation of presentation materials using appropriate technology/software. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Formats documents, using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc. related to activities carry out by ECLAC as part of EUROCLIMA Programme. • Performs general administrative tasks (arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Performs other duties as assigned. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher. Experience in planning and organizing meetings, conferences and events is required. One (1) year or more of experience in data analytics or related area is desirable.
