Org. Setting and ReportingThis position is located in the United Nations Mission Stabilization in the Democratic Republic of Congo (MONUSCO). The Team Assistant will be based in Kinshasa. The incumbent reports to the Chief of Radio Okapi. ResponsibilitiesThe team assistant at this level may be responsible for the following tasks. • Provides general office support services to help ensure the smooth functioning of an organizational unit and requests, including drafting routine written responses or routes to appropriate personnel. • Ensures standard word processing package to produce a variety of routine correspondence, receive phone calls and visitors, and respond to routine inquiries and information. • Performs service written products for completeness and grammatical and typographical accuracy and maintains files (both paper and electronic) and databases for the work unit. • Provide secretarial, administrative and logistical support for meetings, committees, conferences, etc. • Performs a wide range of office support and administrative functions. Responds or drafts responses to routine correspondence and other communications; uses standard software document processing packages to produce a wide variety of large, complex documents and reports. • Maintains journalists‘schedules and calendar ; monitors the changes; prepare journalists’ rotation tables and communicate relevant information to appropriate staff. • Perform data entry functions. • Carrying out general administrative tasks (e.g. recording attendance and leave, arranging meetings and other events, reservations, budget monitoring, etc.), including the preparation and/or processing of administrative requests and documents (requisitions, order forms, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Keeping work unit or section files ( electronic) and databases up to date. • Operates and maintains various office equipment in the performance of basic administrative duties, e.g. photocopier, fax machine, printer, scanner, etc. • Provides advice to less experienced staff on general office processes and procedures, computer applications, etc. • Performs other duties as assigned by supervisor.
