Senior Registration Assistant

Organizational Setting and Work Relationships
The Senior Registration Assistant is a member of the Registration team. The incumbent is responsible for supporting all activities related to registration, which may also include functions related to reception, filing and data management. S/he provides counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements. S/he liaises closely with protection staff and partners to ensure timely identification and referral of persons of concern (POC) for protection follow up. The Senior Registration Assistant may assist in compiling and analysing information related to registration activities in the Operation. The incumbent may provide interpretation and/or translation services in cases for which s/he has the required language competencies.

Duties
- Assist in the implementation of registration strategies and methodologies for POC.
- Conduct registration interviews when required in accordance with registration standards and guidance.
- Provide counselling to, and responds to queries from, asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements.
- Maintain accurate and up-to date records and data related to all individual registration cases.
- Identify persons with specific needs and ensure timely referral to protection follow-up as required.
- Collaborate with protection staff and/or partners in the delivery of assistance and programming, including provision of identity and entitlement documentation.
- Draft correspondence and reports relating to registration activities in the Operation, when required
- Provide statistics and draft reports related to registration data, as requested.
- Act as interpreter and translator when needed.
- Refer cases to other units within the office and to implementing partners as necessary.
- Draft and submit reports and statistics related to registration.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
- Perform other related duties as required.

Operational context

Occupational Safety and Health Considerations:

The Security Level for Amman and the rest of the country is assessed at Level 1 (MINIMAL), except the northeast Jordanian Syrian border area, where it is assessed at Level 3 (MODERATE). Road traffic accidents remain a pertinent risk to staff. Vehicle travel is difficult at certain times due to adverse weather conditions, low visibility and/or heavy traffic.

Nature of Position:

The Senior Registration Assistant may assist in compiling and analyzing information related to registration activities in the operation. The incumbent may provide technical support to the daily management of the registration workflow.

Living and Working Conditions:

Irbid: Irbid Governorate in Jordan is 90 kms NW from the capital Amman. With a population of just under 2 million Irbid is Jordan’s second largest city. Irbid is categorized as (B) duty station.

Accommodation average rent at Irbid Governorate can range between 300 USD a month for unfurnished apartments to 750 USD a month for a fully furnished 3 bedrooms apartment.

Irbid tends to have a Mediterranean climate; summers are mildly hot. winters are usually cool and wet, starts around the end of November and continues until mid-March, there is occasional snowfall.

International schools are not available in Irbid, most of the available schools are governmental with few privet Arabic schools. All private schools in Irbid are fee-paying and study is mostly in Arabic. Fees varies between 600- 4,900 USD a year. The admission procedures for all schools are quite simple.

Advanced medical services are available in Irbid. However, critical medical situation treatment is referred to Amman. UNHCR has signed a frame agreement with Irbid Specialty Hospital to treat UNHCR patients and their dependents when the need be.

The camp environment is semi-desert where the winters are very cold with heavy snowfalls and torrential rains at times and very hot/dry with extreme daily temperature fluctuations during the summer.

The working conditions at the field level are challenging, therefore the incumbent should be flexible, mature and have very good inter-personal skills to ensure a solid team spirit.

Within Azraq there are two health facilities open to the public and UN staff. Both facilities are able to stabilize patients though for any trauma or other serious medical emergencies, patients are transferred by ambulance to Zarqa or Amman. According to local authorities, Azraq is relatively free from criminality and forms of armed violence.
