Project Description The purpose of the USAID/Ethiopia Disaster Risk Management (DRM) Activity is to enable timely anticipatory and early action to preempt crises and reduce the impact of shocks in Ethiopia by strengthening disaster risk management (DRM) planning and preparedness, improving DRM coordination, and enhancing resource mobilization and management. The activity will also strengthen Gender in Emergencies (GiE) capacity, increase private sector engagement in DRM, and expand local organizations' capacity to engage in DRM. Position Description RTI is seeking a Sr. Driver/Logistics Assistant for the Ethiopia DRM Activity. The Sr. Driver/Logistics Assistant must adhere to the values of RTI and have excellent interpersonal skills. The Sr. Driver/Logistics Assistant will be responsible for driving project staff, RTI International staff, and project-hired consultants to and from job sites to fulfil the tasks of their work missions. In addition to driving responsibilities, the Sr. Driver/logistics assistant will assist the Security & Logistics Manager and the Procurement & Operations Specialist with picking mails or goods, crosschecking quality and standards, logistics services, administration and office support tasks, and other tasks assigned. This position will be based in Addis Ababa, Oromia, Ethiopia, and will report to the Security and Logistics Manager. Responsibilities Driving functions Driving RTI vehicle as may be assigned by the Security and Logistics Manager. Drive or arrange transport of authorized clients, visitors, goods, messages, mail, etc. Collect and deliver goods, mail, documents, and other items Meet official personnel at the airport and facilitate immigration and customs formalities as required. Take care of the day-to-day maintenance of the assigned means of transport, check oil, water, battery, brakes, tyres, etc.; perform minor repairs and arrange for other repairs and ensure that the vehicle is kept clean. Log official trips, daily mileage, gas consumption, oil changes, greasing, etc. Read and understand specific vehicle/vessel operating manuals to ensure the safe and appropriate operations of the vehicle. Obey traffic rules and Road Signs, negotiate, liaise, and coordinate with local authorities to facilitate the smooth running of vehicle/vessel movements. Ensure that the steps required by rules and regulations are taken in case of involvement in an accident. Follow 3rd party insurance dates expiry date and annual inspection period and make appropriate request ahead of time. Produce weekly/monthly records of mileage travelled and tonnage moved. Identify any apparent problems during field deliveries and report them to the appropriate personnel. Logistical Operations Support all logistical functions, including but not limited to; support workshops/meeting attendance collection, import/clearance, storage, transport, warehousing and distribution of commodities. Responsible for collecting Quotations, receiving procured goods and arranging transportation to their final destination(s). Receiving and unpacking parcels, equipment, furniture, branding materials etc. from time to time Support in processing and renewal of visa’s Raising requisitions of small values as related to motor vehicle spending as well as other administrative expenses Assisting the finance team with small-value bank transactions as well as bank-related dispatches. Facilitate errands as pertains to operations and facility management and maintenance. Assist in clerical responsibilities as may be required from time to time Act as a liaison by delivering letters and documents to government offices, customs, tax authorities, USAID and other relevant entities on behalf of the DRM. Process requests related to these interactions and support specialists in related activities. Manage vehicle maintenance for both field-based and Addis Ababa-based vehicles. Compile and submit log sheet summaries to the Security and Logistics Manager. Qualifications High School complete or vocational training and at least three (3) years of experience is required with strong recommendations from previous supervisors. Preferably at least 2 years of experience with International NGOs Preferably experience in Experience in administration, logistics, and event/meeting coordination Excellent communication and interpersonal skills. Ability to work effectively under pressure. Knowledge of driving rules and regulations and skills in minor vehicle repairs. Knowledge of radio, email, telephone and other applications. Trustworthy, high sense of responsibility, alertness; physical fitness on duty, calm under pressure, neat and courteous. Prior experience in International NGOs and knowledge on USAID rules and regulations with regards mainly to vehicle management. Good knowledge of the DRM activity areas and the current conditions of roads and highways. Ability to deal patiently and tactfully with people of different national and cultural backgrounds. Ability to work an irregular schedule on occasion with the ability to travel frequently and on short notice throughout the country. Excellent management, communication, and organizational skills (attention to detail is required); flexibility and capacity to multi-task. Verbal and written fluency in English and Amharic is required. Ability to travel and work throughout Ethiopia in difficult terrain/conditions at times.
