Background:

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

With the formal relocation of the United Nations Country Team (UNCT) to Khartoum, the Country Office will initiate the movement of its leadership and  part of core staff. This advance group will consist of the Country Representative and Programme officers, Safety and Security Specialist, along with 2 support staff (Executive Associate & Senior/clerk driver), ensuring a strong leadership presence in the newly established Khartoum operations.

Under the supervision of the Executive Associate, the Senior driver/clerk provides reliable and safe driving services to the UN Women staff and other high-ranking UN officials and visitors ensuring the highest standards of discretion and integrity, sense of responsibility, and excellent knowledge of protocol and security issues, also demonstrates a client-oriented approach, courtesy, confidentiality, tact and ability to work with people of different national and cultural backgrounds.

In additional to the driving services, the Senior Driver/clerk will provide basic administrative and clerical and logistical support to the Office of the UN Women office. 

Duties & Responsibilities:

1-Provide reliable and secure driving services:

  • Drive office vehicles for the transport of authorized personnel.
  • Deliver and collect mail, documents and other items to Government – offices/Embassies/commercial establishments/UN offices.
  • Meet official personnel and visitors at the airport, including visa and customs formalities arrangements when required.
  • Verify that all passengers wear seatbelts at all times in the vehicle.
  • Ensure all immediate actions required by rules and regulations are taken in case of involvement in accidents.
  • Adhere to relevant job specific guidelines and policies of UN Women such as but not limited to the vehicle management policy; and
  • Ensure vehicle comply with the Security and Safety standard established at the duty station through Security Risk Management process.
  • Follow security protocols for transporting VIPs, including route confidentiality and emergency procedures.

      2-Provide proper use of vehicle:

    • Contribute to environmental sustainability and cost-savings by driving responsible. 
    • Maintain daily vehicle logs, daily mileage, gas consumption, oil change, servicing, greasing, repairs; and
    • Provide inputs to preparation of the vehicle maintenance plans and reports.

      3-Provide day-to-day maintenance of the assigned vehicle:

      • Ensure that the official vehicle is kept cleaned, washed and is always in good working condition.
      • Make minor repairs and make arrangements for major repairs; 
      • Change oil, check tire tread depth and pressure, lights, indicators, wipers, horn, clutch and brakes and ensure that any errors of warning indicators on dashboard are inspected and addressed in timely manner; and 
      • Arrange and complete winterization of office vehicles when this is required by local traffic regulations or when travel to areas that might be affected by snow is planned.
      • Conduct pre-trip vehicle’s checks to ensure safety and reliability.

         4-Maintain and ensure availability of all required documents/supplies:

        • Maintain and ensure availability of all required documents/supplies including vehicle insurance, vehicle logs, office directory, and maps of the city/country, first aid kit, and necessary spare parts in the assigned vehicle; and
        • Ensure that all immediate actions required by rules and regulations are taken in case of involvement in accidents.

          5- Provide basic administrative, Logistic and protocol support

          • Provide Basic Administrative, Logistic, and Protocol Support
          • Ensures smooth coordination of protocol matters by effectively assisting office personnel in liaising with government authorities for the issuance of visas, stay permits, HAC clearances, and other official documentation required for staff movement.
          • Delivers reliable administrative support, including accurate filing, photocopying, document organization, and record maintenance, contributing to a well‑structured, compliant, and easily accessible documentation system.
          • Supports logistical and operational tasks, such as handling office mail, distributing publications, and facilitating the timely payment of utility and service-related bills, ensuring continuity of office functions and uninterrupted daily operations.

            6-The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
