About the position


Based in Rome, Italy, and under the supervision and guidance of the Cacao of Excellence, Manager of the Programme, the incumbent will provide programme management support, including administration, operation, communications, funding proposals and event organization.

 

Responsibilities

More specifically, the Programme Associate will execute the following tasks:

  • Provide programme management support to the operation of the Cacao of Excellence in its new strategic plan.
  • Coordinate the planning and provide logistics support for the operation of the Cacao of Excellence lab in Rome, working closely with the HQ Facilities and Logistics Unit.
  • Organize all procurement for the Cacao of Excellence operation and lab in accordance with the procurement policy guidelines.
  • Organize the Cacao of Excellence's team travels and participation in meetings.
  • Support the design and delivery of the recruitment proposal for the Cacao of Excellence team, and the processing of HR contracts.
  • Assist in the organization of Cacao of Excellence events as per its agenda
    o   Assist with the processing of the service agreements and collaboration agreements.
    o   Organize and coordinate the travel arrangements for the event.
    o   Provide logistics support.
  • Contribute to Cacao of Excellence annual budget preparation as well as tracking the budget utilization and reconciliation.
  • Support with the financial reporting and reconciliation of the income generating products of Cacao of Excellence. Mainly of the transactions recorded through the digital platform and/or digital payment app with the internal records to ensure accuracy.
  • Assist in consolidating the annual work plans for the Cacao of Excellence team and support in tracking the implementation of the planned activities.
  • Support the effective administration of existing and new commitments
  • Provide secretariat support to the newly established Cacao of Excellence governance including its Advisory Council and associated Expert Panels and Working Groups.
  • Support the development of Cacao of Excellence policies and collaboration agreements.
  • Assist in the development of concept notes and funding proposals.
  • Assist in the development and execution of capacity building activities.
  • Contribute in other ways to the Cacao of Excellence Programme and the Alliance of Bioversity International and CIAT.
  • Perform other duties as assigned.


    Requirements


    Essential Requirements

    • Bachelor's degree in business administration, project management, or relevant field, supplemented by office training.
    • Demonstrated track record of effectively supporting and engaging with a diverse range of stakeholders.
    • Proficiency in the use of Microsoft Office Suite packages.
    • Excellent command of the English language, both written and spoken.
    • Strong interpersonal, communications and teamwork skills; courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds.
    • Well-developed skills in personal organization and priority setting, problem solving and accuracy.
    • Strong client orientation and service approach

      Desirable Requirements

      • Work experience in an international environment.
      • Italian language skills.

        Terms of employment

        This is a locally recruited position which will be based in Rome, Italy. All benefits are denominated and paid in EURO. The salary is level 6, on a scale of 14 levels, with level 14 being the highest.  The salary range starts from Euro 43,310 per annum. The remuneration package includes a competitive salary, leave provisions, medical and life insurance, and non-contributory retirement plan.  The contract will be for a period of one year, subject to a probationary period of 6 months, and is renewable based on performance and availability of funds.  Please note this position is only open to citizens or residents of the European Union.
