About the position
Based in Rome, Italy and under the direct supervision of the Assistant II, Regional Operations and Finance Europe, the Job Trainee will provide logistical and administrative support to the Europe Regional Operations Unit, more specifically to the Procurement Department.
Responsibilities
The specific tasks of the position include, but are not limited to, the following:
- Assist with raising requisitions in Agresso for HR allocation/relocation/repatriation purposes and monitor status of existing requisitions.
- Assist with requesting to Accounts Payable to proceed with bookings of invoices received for HR allocation/relocation/repatriation purposes.
- Assist with monitoring outstanding invoices and follow up with Treasury.
- Assist during the tender processes for the collection of documents (e.g. invitations to Bids, Request for Proposals and Request for quotations).
- Assist with the coordination of the Procurement Committees along with the requesting staff to provide relevant documents to be signed.
- Assist with the Supplier Management (creation of Supplier ID and collection of documents)
- Assist with the Supplier Management (creation of Supplier ID and collection of documents)
- Archive Procurement documents on SharePoint and OCS.
- Assist with general Procurement tasks.
- Any other duty within the Unit as required
Requirements
Essential Requirements
- Secondary school education.
- Working knowledge of Microsoft Office Suite packages.
- Working knowledge of the English language, both written and spoken.
- Good interpersonal, communications and teamwork skills, courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds.
- Good skills in personal organization and priority setting.
- Good client orientation and service approach.
- Good time management skills and attention to details.
Desirable Requirements
- Work experience in procurement and/or finance.
- Work experience in an international environment.
- Knowledge of a second language.

Terms of employment
This is a job traineeship, and the monthly salary is Euro 1,217. The contract is initially for a period of nine and a half (9.5) months. The contract may be extendable based on performance and availability of funds.
