About this position

The main function of the Office of the Secretary (SEC) is to provide services for the IDB and IIC Boards of Governors and Boards of Executive Directors (including their internal committees), the MIF Donors Committee, and senior management. For meetings and especially seminars organized by one of the Bank's departments, all meeting-related services are the responsibility of the department in question, with the Secretariat lending advisory assistance and logistical support as needed.

The Office of Protocol is responsible for planning, organizing, and executing events and activities at the IDB Headquarters in Washington, D.C., and in other member countries of the Bank. It advises the different Bank departments and units in matters related to protocol, and ceremonial, guaranteeing the proper application of international protocol rules. It also administers the policies of the use of Bank symbols and corporate identity, and the norms regulating Representation Expenses and the use of the Executive Dining Rooms.

The Office of Protocol needs help to face the increasing workload coming from the day-to-day activities. He/She will provide proactive professional support to the Office of Protocol in the activities related to high-level events and its daily operations.

What you’ll do

  • The selected candidate will:
  • Provide guidance in the observance of the order of precedence at all official events.
  • Generate indicators to measure efficiency of services provided by the Protocol Office.
  • Draft protocolary correspondence including note verbales with country members states and embassies.
  • Support the Protocol Section in administrative matters such as reservations of Executive Dining Rooms, scheduling, and monitoring of daily events in the Executive Dining Rooms.
  • Prepare and update guests´ databases related to special events Prepare, edit, and revise invitations and general correspondence related to official events.
  • Greet and escort VIP guests, and coordinate with IDB Security their arrival to expedite their access to Bank’s facilities.
  • Prepare place cards, seating arrangements, and provide help with the display of the Bank’s symbols for all official events.
  • Prepare and update guests´ databases related to official events, as well as revise invitations and general correspondences.
  • Contribute to the updating and implementing of policies related to Representation of Expenses of officials.
  • Other activities related to the Protocol Office, as required by the Supervisor.
  • Work under the regular supervision of the Chief of Protocol.

    What you’ll need

    • Education: Bachelor’s degree in International Relations, hospitality, or related fields.
    • Experience: At least 3 years of experience in diplomatic circles and or international organizations.
    • Languages: You are proficient in English and Spanish. Working knowledge of French and/or Portuguese is a plus.
