The United Nations Office for Project Services (UNOPS) is an operational arm of the United Nations, supporting the successful implementation of its partners' peacebuilding, humanitarian and development projects around the world. Background: AUMCO

The Austria Multi-Country Office (AUMCO) was set up in August 2019 as a part of the UNOPS Europe & Central Asia Region (ECR). Project Background:

The project aims to construct public-use buildings in earthquake-affected areas and in provinces experiencing post-earthquake migration. These facilities are designed to address specific needs and support access to holistic services.

The project office is located in Ankara, Türkiye, and operates under the operational support of the Austria Multi-Country Office (AUMCO).

The Project Management Support Intern works under the supervision and guidance of the Senior Project Manager and Senior Project Associate, and collaborates closely with them to ensure the efficient provision of logistical, administrative, and project-related support for the successful implementation of project activities.

In carrying out their duties, the Assistant/ Intern promotes a quality- and results-oriented approach, and works closely with the Support Services, Programme, and Project personnel to exchange information and ensure consistent service delivery.

Functional Responsibilities

Logistics, asset management and administrative support

Project support

1. Administrative Support:

Assist in organizing and maintaining project files and documentation (both electronic and hard copy).

Maintenance and asset management of office equipment.

Preparation of inventory lists, keeping records of office supplies.

Administering the receipt of goods and equipment for the office, inspection and report preparation.

Support in official transport needs for the office personnel with accompanying security arrangements.

Support the preparation of meetings (online/ offline), workshops, and training events, including logistics, participant communication, and material preparation.

Draft routine correspondence and reports.

Provide general administrative support to the project team as needed.

2. Project Support:

Assist in tracking project progress against planned activities and milestones.

Support the preparation of project reports, including gathering data, formatting documents, and ensuring accuracy.

Support the small procurement process by assisting in the collecting information for the upcoming needs, tracking deliveries, and maintaining procurement records.

Maintain and update project databases.

Support the preparation of presentations and other communication materials

Other duties

Undertake other tasks as assigned by the Project Manager or Supervisor

The Project Management Support Intern's contributions will directly impact the efficiency and effectiveness of the project. By providing essential administrative and project support, the intern will free up the Project Manager and team members to focus on core project activities, ultimately contributing to the successful construction of women's shelters and the achievement of project objectives. Education

The incumbent should be enrolled in a university programme such as Bachelor or Master's preferably in Project Management, Business Administration, International Development, Social Sciences, Engineering or a related discipline. Recent graduates may also be considered Experience

Fluency in English and Turkish is required
Functional Competence
Proficiency in Google Workspace/ Microsoft Office. Ability to research, analyze, and synthesize information. Ability to draft clear and concise reports and correspondence. Contract type: Internship
Contract level: N/A
Contract duration: 3 months with possibility of extension up to 12 months This internship is not designed to lead to a staff position with UNOPS. Therefore, there should be no expectation of employment at the end of the internship.

Interns may be eligible for a monthly stipend from UNOPS provided that they do not receive funds from other institutions. Further, UNOPS may provide a one time travel lumpsum of 500 USD. However, they must make their own arrangements for accommodation, travel and necessary visa arrangements.

For staff positions only, UNOPS reserves the right to appoint a candidate at a lower level than the advertised level of the post.

For retainer contracts, you must complete a few mandatory courses ( they take around 4 hours to complete) in your own time, before providing services to UNOPS. Refreshers or new mandatory courses may be required during your contract. Please note that you will not receive any compensation for taking courses and refreshers.
