  Context

Under the overall supervision of the Chief of Mission (CoM) and the direct supervision of the Programme Coordinator (PSU) the incumbent will be responsible to support project development, reporting, and other donor grant management tasks for the mission. 

  1. Support with the coordination of the project development process for calls for proposals from donor governments, including the compilation of project inputs to proposals, liaising with Regional Offices and Headquarters on proposal reviews/endorsement, submission of documents to donors, and grant agreement generation/project activation. 
  2.  Compile inputs from IOM programme units for donor, internal and external reports in line with agreed reporting schedules and mission standards of high-quality, accurate, and results-based reporting in English and Polish.
  3.  Assist in the development of new project development and reporting tools for the mission including reporting schedules, donor profiles, mission project overviews, PRIMA task tracking and more. 
  4. Research and present migration-related issues in Poland to support with the development of concept notes, proposals and other key documents in line with mission’s priorities.
  5. Support the PSU Coordinator to train and mentor IOM staff on project development and results-based reporting.
  6. Collaborate closely with the Monitoring, Evaluation, Accountability, and Learning (MEAL) unit on the development and tracking of key project indicators, in line with the mission’s strategy.
  7. Coordinate project inception, review, and close-out meetings as part of mission-wide project monitoring and compliance with donor requirements.
  8. In coordination with the PSU Coordinator and Senior Programme Coordinator, monitor challenges and changes to projects that may necessitate the submission of project modification requests for donor approval.
  9. Work closely with the Information Management Coordinator to develop accessible systems for sharing project/grant information with programme teams and maintenance of the PSU SharedPoint.
  10. Contribute to the drafting of talking points and briefing notes for PSU coordinator, senior management and programme teams.
  11. Support and coordinate periodic field visits for donors and partners.
  12. Performs such other duties that may be assigned. Education
    • High School degree with six years of relevant experience; or
    • University degree/certificate from an accredited academic institution in Social Science/Public Relation/Economics/Development Studies/ International Relations or other relevant disciplines with four years of relevant work experience.Accredited Universities are those listed in the UNESCO World Higher Education Database. Experience
      • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations; 
      • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
      • Experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
      • Experience in proposal development, donor reports and project monitoring/modificationsSkills
        • In depth knowledge of the broad range of migration related subject areas dealt with by the Organization; and,
        • Knowledge of UN and bilateral donor programming.Languages
          • Fluency in English and Polish (oral and written)
