Purpose of Job

Working in close collaboration with the Associate Director, HR Business Partner aligned to the Banking Vice Presidency (Portfolio and Regional Business Groups), operate as the HR Business Partner for a specific project related to the location of the Ukraine team.

This is a short term 6-month role focussed on supporting the design and coordinating the delivery of the agreed longer term approach for Ukraine staff. The HRBP will work in collaboration with HROD Centres of Expertise (CoE), in particular the Reward and People Operations CoEs as well as other relevant departments. They will also interact with managers of Ukraine staff and staff themselves as part of the implementation of the agreed way forward for the staff.

Accountabilities & Responsibilities

  • Supporting the Associate Director, HRBP in managing and leading the project by:
  • Preparing materials for meetings with the HROD teams and the business – either with management and/or staff.
  • Maintaining the project plan and ensuring tasks are completed on time. This will involve individual consultation with staff, recording accurately its outcomes and coordinating their implementation by working closely with HROD CoEs.
  • Providing stakeholder analysis and defining and implementing communications.
  • Utilising and analysing data, and insights drawn from a number of sources to collaboratively work with HROD colleagues and influence business decision making.
  • Assuming responsibility for monitoring the project dedicated inbox and responding to staff queries in a timely manner (liaising with the AD HRBP and HROD CoEs and escalating any issues promptly); providing experienced advice and guidance in order to supportthe implementation of HR policies and procedures in order to ensure successful implementation of the project.
  • Demonstrating a clear understanding of all HR elements of the employee life cycle and policies in order to mitigate legal and reputational risk and to meet business needs.
  • Responsibility for advising CLG level managers and working closely with the Employee Relations, People Solutions & Advisory team to ensure the appropriate management of sensitive, delicate or problematic employee relations issues, to mitigate grievances and maintain business continuity.
  • Record-keeping to underpin sound administration of Bank personnel: Documenting and filing an accurate audit trail to clarify policy decisions and/or to document rationale for policy variations in the realms of reward and employee lifecycle events. Ensuring adequate details are kept and filed correctly so that any future recollection of a decision is fully captured and easily retrievable. Documenting and accurately filing contemporaneous notes of manager/employee meetings about pertinent HR matters (includes using template chronology document).

    Knowledge, Skills, Experience & Qualifications

    • Demonstrable HR Business Partnering and Advisory experience, preferably gained in the financial services sector.
    • Previous experience involving project managing the move/relocation of a large number of staff (approx. 90) and across different geographies would be advantageous.
    • Proven track record of delivering results and seeing projects to successful completion, working to tight deadlines.
    • Excellent attention to details and ability to keep track of decisions, consultation outcomes and maintain accurate spreadsheets to ensure the smooth and correct moves of staff (both physically with the engagement of the Internal Mobility Team and digitally in the relevant Bank systems).
    • Excellent command of Excel, Word and Powerpoint
    • Experience of operating with excellent judgement in a demanding client facing role.
    • Strong partnership, influencing, problem solving/solution orientated and client orientation skills to enable positive engagement with stakeholders throughout the Bank and with HROD.
    • Demonstrable change management, workforce planning and talent management experience.
    • Digital acumen and the ability to analyse and interpret data to support clients and the project
    • Fluency in English both written and oral. Ukrainian language would be advantageous but is not essential.
    • Experience of working in a multi-national environment with a dispersed workforce essential.
    • Degree in relevant discipline preferred or equivalent experience.
