Overview of the Functions of the Post\n\n

The Office of the\nDirector-General is responsible for overall accountability for implementing the mission and\nvision of ICCROM. The Office of the Director-General oversees and coordinates\nall Units to ensure the optimal use of resources. ICCROM\nseeks an Office Assistant to provide a variety of routine administrative\ntransactions and office support functions, contributing to the smooth and\nefficient running of the Office of the Director-General and assisting the\nDirector-General as required.\n\n

Key Accountabilities\n\n

The Office Assistant will provide a\nvariety of routine administrative transactions and office support functions,\ncontributing to the smooth and efficient running of the Office of the\nDirector-General and assisting the Director-General as required. The post is\nbased at ICCROMHQ in Rome, Italy. Within delegated authority, the Office Assistant will\nbe responsible for the following main duties:\n\n

  1. Responsible for various\nadministrative and operational duties necessary to efficiently run the Office\nof the Director-General.
  2. Draft and dispatch various\ncommunication outputs (e.g. e-mails, letters, Note Verbale, etc.) in line with\nprocedural and protocol guidelines and with respect to ICCROM al\ncommunications and other documents.
  3. Plan, schedule, and prepare meetings\nand appointments of the Director-General, including taking\nnotes and minutes and monitoring deadlines as required.
  4. Coordinate the lection of s\nand information from various leagues to prepare timely output for the\nDirector-General.
  5. Review documents, PowerPoints and\nother s as required.
  6. Assist the Director-General in the organization\nof missions, including travel arrangements, reservations, processing requests\nfor visas and other administrative tasks to ensure the smooth running of the\nduty travels.
  7. Support the Director-General in\nmanaging visits of external visitors, including Ambassadors and high-level\nofficials.
  8. Organize and maintain paper and\nelectronic files, conduct research and disseminate information through\nthe most appropriate means. \n\n

    Required qualifications

    Education\n\n

    a. Degree in a field relevant to International Studies,\nin a related field, or equivalent professional experience.

    Work experience\n\n

    a. Minimum of four (4) years\nof professional-level experience in office support, secretarial duties, and\nadministrative tasks in an international organization is required.\n\n

    b. Track records in organizational\nand coordination tasks in an international environment.\n\n

    Skills and\nknowledge\n\n

    a.   Ability to manage a\nvariety of administrative, secretarial, and operational tasks to support the\nbusiness.\n\n

    b.  Good knowledge of institutional\ncommunication, documentation and protocol standards.\n\n

    c.  Good knowledge of\nSAP (Accounting module) or similar ERP systems is a plus.\n\n

    e. Building and maintaining relationships: builds and maintains relationships outside own immediate\nteam, partnerships and networks to achieve common goals.\n\n

    Languages\n\n

    a. English and French are\nthe working languages of ICCROM. The knowledge of any other language is an\nadded advantage. \n\n

    Remuneration\n\nThe salary and the allowances are net of taxes but subject to various deductions, such as the employee's portion for medical insurance and contribution to the United Nations Joint Staff Pension Fund. For full details, you can visit the General Service Category Salary Scale.
