BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
To contribute to daily management and processing of invoices pertaining to all logistics services carried out by WFP’s contractors through the Corridor of Douala, including Kribi and support in the overall Funds Management activities of the Corridor Office.
The Staff Member will work under the direct supervision of the National Logistics Officer and must ensure that invoices are timely processed and final payments monitored through relevant Units
MAIN ACCOUNTABILITIES/RESPONSIBILITIES:
1. Check thoroughly all incoming invoices and ensure compliance with internal procedures for submission of invoices
2. Reject and return to vendors any invoice not compliant with the internal procedures for submission of invoices and any non-contractual service-related invoice
3. Ensure that invoices are timely registered and processed in WFP’s Invoice Tracking System (ITS) and associated purchase orders are valid
4. Process all invoices in ITS within 3 days and escalate on time to the appropriate person (WFP or Vendor) any related challenge
5. Check and value all transport losses and ensure that related calculation follows the contract terms
6. Inform and share the losses’ value with the vendor for his agreement before finalizing the invoice processing in ITS
7. Ensure a weekly and monthly reporting of invoices processed with regards to the vendors in the portfolio
8. Update Vendors on the status of the payments of their invoices against their Statement of Account (SOA)
9. Maintain a regular and proper communication channel with Vendors for timely submission of invoices, rejection and/or correction of invoices, etc.
10. Regular tracking of deliveries of services against purchase orders for assigned Vendors, who should be reminded to submit invoices with all supporting documents, if necessary
11. Support the Funds Management Unit in the monitoring and closure of open purchase orders
12. Maintain a close collaboration with WFP relevant Units involved in the Chain
13. Follow up with Finance Unit the final payment of the vendors
14. Other as required
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
Advanced University degree in Funds Management, Supply Chain, Logistics, Economics, Business Management, or First University degree with additional years of related work experience and/or training/courses
Experience:
5 years minimum in Logistics and Funds management
Knowledge & Skills:
Experience in WFP Logistics Operations or Humanitarian Logistics
Experience in commercial Logistics sector
Experience in Port and Corridor Operations
Experience in managing Funds
Experience working with corporate systems (databases, software)
Experience working in a demanding operational environment
Languages:
Fluency (level C) in French language; Intermediate knowledge (level B) of English
