    To contribute to daily planning and coordination of WFP logistics operations including monitoring of services provided by contracted external organizations to ensure cost-effective operations and that set objectives are achieved in full.

    ORGANIZATIONAL CONTEXT:
    These jobs are likely to be found in Headquarters (HQ), Regional Bureaux (RBs) or Country Offices (COs). In the field, job holders report to the Head of Field Office or Head of Logistics or the designate. In RBs and HQ, job holders report to a more senior Logistics Officer. Job holders operate with a high degree of independence, manage more junior staff to ensure that logistics operations and project objectives are achieved in full. Job holders are heavily involved in day–to-day activities and analytical work, and are likely to focus on one specific area of logistics (i.e. budget preparation and management, commodity and warehouse management, supply chain, fleet and workshop management, port operation management, logistics cluster and information management) or manage teams within logistics operations to ensure supply chain strategies are implemented.

    ACCOUNTABILITIES/RESPONSIBILITIES:

    1. Ensure that financial data is timely collected, analyzed and entered correctly in WFP corporate system.

    2. Ensure that proper workshop administration, record keeping & vehicle history records are well maintained via the Fleet Management System (FMS).

    3. Generate reports and information as required from the FMS, while at the same time analyzing information and quality of report prior to distribution.

    4. Constantly collect and collate useful data which can be used to improve the general systems established and communicate this information to immediate supervisor such as Possible system constraints and common errors reoccurring, possible training needs.

    5. Responsible to ensure that all data produced in the system is accurate and always sent and received on a timely basis and to report any irregularities to immediate supervisor.

    6. Collect, analyses and prepare monthly fleet operational reports/set KPIs as may be required for management decisions.

    7. Verify accuracy and completeness of all invoices and clear them for further processing and payment.

    8. Ensure that financial data is timely collected, analyzed and entered correctly in WFP corporate system(s).

    9. Analyze and resolve discrepancies/irregularities and bring to the attention of the supervisor complex issues.

    10. Analyze all expenditures and recommend potential areas of cost reduction and/or recovery where possible.

    11. Maintain liaison with relevant WFP units, Un agencies and service providers/suppliers with respect to the status of maintenance, financial and insurance matters.

    12. Assist to workshop in the assessment of maintenance demands, preparation of maintenance plans and servicing schedules.

    13. Use VTS (Vehicle Tracking System) to identify non transmission devices and coordinate with field for repairs, mapping waypoints and routes, geo-fencing in coordination with Global Fleet.

    14. Should be able on tracking of the assets on the corporate designed tools.

    15. Perform software checking routines established and ensure all the data is downloaded in the system is accurate and take the necessary steps to resolve any irregularities.

    16. System updates an inventory of tools & workshop equipment ensuring a periodic/monthly stock count of tools and spare parts in the workshop.

    17. Facilitate and assist in regular and random spare-parts stock inventory. Regular contact with Fleet Teams to review and support activities that improve fleet performance.

    18. Provide training and guidance to Fleet Management Focal Persons on processing of FMS transactions including on-the-job training.

    19. Any other duties and responsibilities as requested.

    QUALIFICATIONS & EXPERIENCE REQUIRED:

    Education:

    Advanced University degree in Information Science, Data Management, Computer Science, Transport Economics, Supply Chain, Logistics, Engineering, Business Management or other related field, or First University degree with additional years of related work experience and/or training/courses.

    Experience:

    Experience in humanitarian working environment.

    Experience in managing an area of supply chain operations including coordination with internal and external stakeholders.

    Experience working with corporate systems (database, software).

    Minimum of 5 years of experience in the related responsibilities.

    Knowledge & Skills:

    Excellent skills in presenting complex technical information, intense data analysis and dashboard reporting in an easily comprehensive way.

    Adaptability and flexibility in working within complex and dynamic environment.

    Ability to deliver high quality products in a timely manner.

    Ability to work in a team, establish effective working relations with persons of different cultural backgrounds.

    Languages:

    Fluency (level C) in English language.
