    BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

    To contribute to daily management purchase orders pertaining to all logistics services carried out by WFP’s contractors through the Corridor of Douala, including Kribi and support in the overall Funds Management activities, including invoicing of the Corridor Office.
    The Staff Member will work under the direct supervision of the National Logistics Officer and must ensure that required funds are available and all commitments are timely captured in WFP’s digital accounting system.

    MAIN ACCOUNTABILITIES/RESPONSIBILITIES:

    1. Contribute towards the development of logistics plans and processes ensuring compliance with wider logistics policies and WFP standards.

    2. Based on Logistics work orders issued by the relevant units (Shipping, Warehouse, Transport, etc.), analyze funds required to pay for logistics services as per current contracts.

    3. Submit on time to Recipient Countries the requests for funds relating to work orders issued and follow up with them the timely provision of the necessary funds.

    4. Prepare and submit requests for creation of purchase orders in the required digital tool, with the references of the work orders, the quantities, the contractual prices as well as the total amounts

    5. Create all logistics purchase orders for the corridor within the required timeframe based on work orders issued by the relevant units

    6. Forward in due time the approved purchase orders to the vendors and to the relevant units’ focal points

    7. Ensure a regular monitoring of open purchase orders and extend delivery dates if necessary for services currently being finalized

    8. Track regularly delivery status of services against purchase orders for assigned Vendors

    9. Close all purchase orders as soon as the services are rendered and monitor the payment status of the invoices concerned for full closure of the purchase order

    10. Update the PO tracker of the field office and ensure a weekly and monthly reporting of purchase orders’ status. Bimonthly reports to be shared with Recipient Countries

    11. Support the Funds Management unit in the timely processing of invoices as per the internal procedures, when required

    12. Maintain a close collaboration with WFP units involved in the Chain and build productive relationships with logistics colleagues and staff within the area of assignment

    13. Participate in the on-going review of internal processes and procedures and identify ways to increase the day-to-day efficiencies.

    QUALIFICATIONS & EXPERIENCE REQUIRED:

    Education:

    Advanced University degree in Funds Management, Supply Chain, Logistics, Economics, Business Management, or First University degree with additional years of related work experience and/or training/courses

    Experience:

    5 years minimum in Logistics and Funds management

    Knowledge & Skills:

    Experience in WFP Logistics Operations or Humanitarian Logistics

    Experience in commercial Logistics sector

    Experience in Port and Corridor Operations

    Experience in managing Funds

    Experience working in a demanding operational environment

    Experience in supervising staff

    Languages:

    Fluency (level C) in French language; Intermediate knowledge (level B) of English
