Lead, Internal Communications - GL D - Defined Duration until December 2030

The Internal Communications function is key to supporting Global Fund staff in accessing the tools, information and messaging they need to effectively deliver their work. Located within the Chief of Staff Office the team works with divisions across the organization, and particularly closely with senior management, to identify and communicate new guidance, messaging and updates to staff internally. The function supports the strengthening of staff engagement and the integration of Global Fund values into our daily work.

Reporting to the Manager, Organizational Planning and Leadership with dotted line reporting to Head, Communications Department in the External Relations and Communications Division, and working closely with the Chief of Staff, the Lead, Internal Communications develops and implements an internal communications strategy and annual workplan, designs, leads and implements effective, timely and relevant internal communications, content and campaigns to inform staff of important changes, initiatives or ways of working as well as supports staff engagement, motivation and promote a united and positive culture.

The Lead, Internal Communications, plays a critical role in enabling internal communications by the Executive Director and Chief of Staff, and partners with all divisions in the Global Fund, and most closely with External Relations and Communications, Human Resources, Finance & Administration, and IT with a strong focus on stakeholder management. They supervise the work of an Associate Specialist, and additional surge resources as required.

The role is wide-ranging, encompassing the timely development and co-ordination of employee and organizational communication through a range of channels to ensure ease of access, clarity and consistency and the reinforcement of a common organizational culture.

Key Responsibilities

Internal communications strategy:

  • Develop and oversee the implementation of an internal communications strategy and annual workplan that is people-centered, working in close collaboration with the External Relations and Communications Division.
  • Propose options to optimize people-related communications (strategic initiatives roll-out, town halls, etc.) and contribute to staff engagement throughout the organization through innovative means.
  • Ensure that internal communications reflect and reinforce organizational culture, values, and code of conduct.

    Change management communications

    • Identify issues and “hot spots” that would benefit from proactive communications, using change management skills and techniques to bring staff along.
    • Advise senior leadership on best practices for communicating about issues of significant change for staff to increase the understanding, support effective change management, and improve collaboration across the organization.
    • Develop change management strategies to support effective implementation of optimization projects, including stakeholder engagement approaches to enable effective cross-Secretariat collaboration.
    • Design and implement change impact analyses, change readiness assessments and change implementation plans.

      Internal communications delivery:

      • Establish and nurture relationships with key stakeholders internally, particularly within the Front Office Office of the Executive Director, Human Resources, IT, Finance & Administration, Communications and the Grants Management Division, to identify internal communications needs, priorities and objectives. Jointly plan and execute communications on significant developments, new initiatives or challenges.
      • Support the Executive Director/Chief of Staff in effective and timely sharing of relevant information with the broader workforce.
      • Support leadership communications through crafting of messages from Management Executive Committee (MEC) to staff. In collaboration with colleagues in the Chief of Staff Office, ensure timely and effective communication to staff on the decisions and discussions of the MEC.
      • Oversee the work to develop, manage and continuously improve the Global Fund’s intranet platform, Engage, and create bespoke internal content.
      • Provide communications counsel and advice to stakeholders across all teams and at all levels of the organization.
      • Manage all internal communications issues which arise and propose timely solutions to mitigate effectively, and in a timely manner.
