Main purpose of the role
The EA to the CEO Office will provide comprehensive, proactive administrative support to the Lead Economist and Global Director Climate, the Chief of Staff \u2013 CEO Office, and Partnerships Director within the CEO Office.
The EA to CEO Office will assist in daily needs across the organisation through various administrative activities. The position requires broad administrative and personal assistant skills and a high level of efficiency and proactivity. The position is privy to confidential information that requires the highest level of confidentiality and judgment.

Role\u2019s responsibilities
Full EA Support for the Lead Economist and Global Director, Climate; including diary management, organising travel and managing expenses and ad hoc support to their wider team. Provide the Partnerships Director, with EA Support and the arrangements of events. Support the Chief of Staff in the CEO Office with diary management and other ad hoc administrative support and as required support the wider CEO office team in organising travel, including visas, flights, hotels, cars, etc and occasional organisation of group travel for the CEO Office team. Work with the Chief of Staff, Diary Secretary to the CEO and CEO Office members on event planning and often provide on the ground support for external events. Support the administration and organisation requirements of the Partnerships Community, contributing to its smooth operation and success. Coordinate and organise regular meetings, preparing agendas and taking minutes. Collaborating closely with analysts to maintain databases, manage priorities and facilitate effective information sharing across the community. Event planning: work with the Diary Secretary to the CEO. This includes London based meetings (e.g. ED & Director offsites, organising offsites for the global COO\u2019s and the internal CEO Office Offsite. It will also involve support for the other social events (including supporting/working with the HR team, in organising summer drinks, end of year celebratory events, etc) General administrative duties, including invoice processing, meeting agendas collation, documentation preparation and management and support for central administrative tools for the Directors in the CEO Office team, including the support with. Work collaboratively with other CIFF EAs and local office management to support the smooth running of the office infrastructure, including assisting with high workloads and covering for absences. Undertake projects that support the Foundation\u2019s agenda, and other ad hoc administrative tasks where required. For example, supporting the Mission Excellence Forum as needed. Holiday and sickness cover for the Diary Secretary to the CEO in the areas of diary management and travel arrangements.Membership of the team
This role does not hold line management responsibility, but we expect all employees to demonstrate good leadership behaviours and follow the CIFF Code of Respect; this includes adopting a coaching approach with colleagues to help build skills, confidence and capability in particular areas, processes or procedures. Skills & Experience
Strong administrative experience, working for senior executives in a busy and complex environment; good experience as a scheduler or manager of executive\u2019s time. Strong interpersonal skills \u2013 engages with others to get the best out of them and works well as part of a team, including the flexibility to work with different stakeholders and adapt to their needs. Demonstrates professional, sound judgement and the highest ethical standards, confidentiality and personal integrity. Exceptional organisational skills, able to be flexible as priorities and needs change, and works well under pressure. Excellent attention to detail and able to work at pace. English is CIFF\u2019s business language \u2013 we expect all of our people to display outstanding verbal and written communication skills across all aspects of their role. Capacity to work in a range of cultural and socio-economic contexts, adapting style and approach appropriately and in a culturally sensitive manner to maximise effectiveness. IT proficiency \u2013 must possess strong Microsoft skills, particularly in Outlook, PowerPoint, Excel and Word, and can learn new packages, when required. The starting salary for this role is GBP \u00a332,338 per annum.
