Setting and ReportingThe United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and training to all peacekeeping and special political missions around the world as well as to other UN Offices, Agencies Funds and Programs. This position is located in the United Nations Global Service Centre, Brindisi, Italy within the 3R (Return, Refurbishment, Reuse) Program Team of the Supply Chain Service. The Contract Management Assistant reports to the Logistics Officer/3R Project Manager. ResponsibilitiesWithin delegated authority, the Contract Management Assistant will be responsible for the following duties: • Support the section in ensuring the proper management of commercial contracts related to the maintenance and repair of UN-owned vehicles, assets and equipment returned to UNGSC for refurbishment, by periodic and ad hoc checks. • Contribute to the drafting of statement of works, statement of requirements, technical evaluation matrices and requests for proposals, with regards to contracts related to the maintenance and repair of UN-owned vehicles, assets and equipment returned to UNGSC for refurbishment. • Ensure the enforcement of UN contracts in consultation with Procurement, and liaising with other Departments, including advising in handling claims and disputes, demanding specific performance, claiming against warranties, and other contractual remedies. • Support the program in aligning supply chain planning with the management of commercial contracts related to the maintenance and repair of UN-owned vehicles, assets, and equipment returned to UNGSC for refurbishment. • Provide assistance with resolution of contractual and performance issues and interpretation of contracts, in collaboration with Procurement and Legal. • Contribute to the development and presentation of best practices, tools and lessons learned in relation to contract management to contract stakeholders; • Assist with the analysis of information and data relating to contract utilization and contract management. • Assist in the drafting of relevant audit responses related to maintenance and repair of UN-owned vehicles, assets and equipment returned to UNGSC for refurbishment. • Administration of Unit office including the maintenance of contract related electronic and hardcopy records. • Perform other duties as assigned. EducationHigh School diploma or equivalent is required. Job - Specific QualificationCertification of training in Procurement or Contract Management is desirable. Work ExperienceAt least seven (07) years of progressively responsible experience in contract management, administration, logistics, or related area, is required. The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher. Experience in supply chain planning is desirable. Experience working with Enterprise Resource Planning (ERP) systems such as SAP or similar systems is desirable.
