Job Purpose:
Under the overall guidance and direct supervision of the HR and Admin Manager (line and functional management to HR/Admin officer), the Admin Assistant/Technician will perform an effective and efficient DRC premises maintenance services in Khartoum, ensuring values and competencies in maintaining transparency, integrity and compliance with established DRC rules and regulations. The Admin Assistant – Technician shall work independently on routine tasks while follows instructions of the HR/Administration officer on day to day tasks.
Key Responsibilities:
Conducting routine repair and maintenance work in offices and guesthouses - processing cash advances, low value orders or PRs to purchase any materials needed. Coordinating with Supply Chain department where external services are needed (i.e. for works that cannot be completed directly due to nature or complexity of the work)
Weekly check of each guesthouse and each room in the office to identify if any repair or maintenance needed, if any light bulbs need replacing etc.
Maintain a tracking sheet of all repairs and maintenance requested - including requester, date of request, works required and date repair or maintenance completed
Regular checks on electricity meters on all apartments and offices - ensuring timely top-up and payment
Ensuring offices and guesthouses have sufficient stock of drinking water and cooking gas
Maintain inventory of repair spare parts and consumables (i.e. flashbulbs) and tools
Support in Stock Taking process for HR store
Monthly inspection of safety systems in offices and guesthouses to ensure they are functioning properly - fire extinguishers (check on condition/ expiry), smoke alarms, fire alarms, carbon monoxide detectors
Performing general maintenance tasks for the building or buildings, drywall repair, plastering, carpentry, flooring repair, painting, minor electrical & plumbing works and more
Quarterly window cleaning in DRC premises
Monthly cleaning of all Air Conditioner filters and coordinating with SC for top-up of Freon gas as needed
Assembly/ installation of furniture and equipment and moving of furniture/ equipment as needs be
Watering of office plants and other gardening as needed/ applicable
Moving of office items - including moving and arranging office supplies and stationary when delivered to the office
Perform other duties as may be assigned by the line manager.
Experience and technical competencies:
Minimum 3 years of progressively responsible experience in electric, plumbing and carpentry work 3 years or more INGO work experience in similar position is desirable Fluency in both verbal and written English and Arabic languages mandatory. Skilled in the use of hand and power tools used in electricity, plumbing and carpentry trade Knowledge of building codes, safety regulations, and safety practices Ability to read and follow blueprints and rough drawings Familiarity with PVC, CPVC, PEX, cast iron, and copper Ability to complete assigned tasks unsupervised and unassisted Excellent problem solving skills Attention to detail and ability to perform multiple tasks simultaneously Ability to calculate basic mathematical problems
