Reporting to: Membership Manager Work percentage: 100% Grade: A2 Expected start date: 01 February 2025 Type of contract: Max-term (11 months) Closing date: 12 January 2025 BACKGROUND Held once every four years, the IUCN World Conservation Congress brings together several thousand leaders and decision-makers from government, civil society, indigenous peoples, business, and academia, with the goal of conserving the environment and harnessing the solutions nature offers to global challenges. The IUCN Congress will be the largest conservation event during 2025 and will be held in Abu Dhabi from 9 to 15 October 2025. JOB DESCRIPTION The main role of the Accreditation and Sponsored Delegate Assistant is to provide support for the full hybrid accreditation process of Members for the Members’ Assembly, the Congress sponsored delegates programme and provide other membership-related administrative support for Congress to the Membership & Commission Support Unit (MCSU).
Specific responsibilities include:
• Supporting the Membership Manager and Membership Administrative Assistant with the full accreditation process in the run up to Congress, to ensure IUCN Members organisations/institutions and observers with speaking rights are able to vote and/or speak according to IUCN standards during the Members’ Assembly at Congress. This includes:
Monitoring incoming emails, answering standard queries and escalating complex requests
Supporting the procedures related to accreditation and the accreditation system as well as assisting in setting these up, testing and trouble-shooting them along with communicating them to Members
• Supporting the Membership Manager and Membership Focal Points (MFPs) in the coordination of the Sponsored Delegate Programme:
Assisting in sending out information and answering Sponsored Delegates related queries from Members and staff;
Liaising and following up with Membership Focal Points to collect Sponsored Delegates listing, travel details, reports and contractual agreements;
Assisting in data control checks and in the preparation of Sponsored Delegates programme reports.
• Supporting the Membership and Commission Support Unit with Congress related and membership tasks ranging from maintaining CRM data up to date with Members data, supporting the translation of documents for Members, to assisting with the design/work of the Members’ Lounge at Congress (schedule/book events, etc);
• Perform any other tasks that may be assigned by the Membership Member, Membership Administrative Assistant or by the Director, Membership and Commission Support Unit. REQUIREMENTS • A bachelor's degree in a relevant field is required
• At least 3 years of experience in an administrative or coordination role, preferably in international organizations. Experience in Finance or events management is a plus.
• Strong communication and interpersonal skills - able to articulate clearly and appropriately both verbally and in writing to a variety of people, including Members and IUCN staff, from different cultures, level of intervention and located in different countries.
• Strong attention to detail and accuracy.
• Experience in handling and reporting data, with good analytical skills.
• Excellent organization and time management skills, with a systematic approach while being able to handle multiple tasks and respond rapidly to new events and competing priorities.
• Fluency in spoken and written English (comparable to mother tongue) is essential and proficient in at least one of the 2 other IUCN official language (French or Spanish) is an advantage.
• Strong team player with ability to work autonomously.
• Strong experience in using 365 Microsoft main applications (Outlook, Word, Excel, Teams…) and ability to use Customer Relationship Management (CRM), Drupal systems and online platforms. SALARY The gross annual salary for this position is between CHF 63'307 and CHF 79'134, subject to deductions for social security contributions and second-pillar pension, and before tax. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
