To support the team growth in Egypt and North Africa/ Horn of Africa regions, IFC is hiring a Team Assistant based in Cairo, Egypt.

Reporting to the Principal Country Officer, The Team Assistant will work with the Country Management Unit (CMU) or, as designated, specific Industry Units/Teams to provide a range of support functions, including, but not limited to, administrative and coordination, quality assurance, liaison with external officials and contacts, support during missions and business development activities, coordination support for IFC activities with the World Bank, as well as general research and reference work.  

Main Responsibilities

The Team Assistant will be responsible for providing secretarial and admin support which contributes to the smooth running of the daily operations of the work unit. Duties will include but not limited to:

•   Being responsible for monitoring and purchasing needed office supplies & consumables in coordination with Finance teams.
•   High quality word processing, proofreading and editing a variety of reports, correspondence and documents in French and English.
•   Logging and distributing incoming correspondence.
•   Independently drafting memoranda, letters and faxes.
•   Establishing and updating/maintaining files, including the division’s files and supervisors’ files.
•   Maintaining schedules and/or appointments for the Country Officer; arranging meetings and disseminating relevant information or material.
•   Assisting respective team in the organization and preparation of events, conferences, workshops, meetings, etc.
•   Providing support to visiting missions and ensure trips clearance after verifying security information. 
•   Making travel arrangements for the respective team S/he will be supporting.
•   Undertaking the office assets inventory, as need be. 
•   Assisting with other administrative tasks as needed from IFC Egypt based team, or other teams as designated.
•   Providing backup support to other ACS staff as need be.
•   Insuring close coordination and collaboration with IBRD country office staff.
•   Retrieving/extracting information from various sources, including magazine publications, IFC Library and the internet as necessary.
•   Contributing to projects and activities as appropriate for the IFC teams.

Selection Criteria

•   University degree and at least 2 years of relevant work experience in a large international institution or private sector organization, working experience in an international organization is a plus.
•   A proven track record of being a team player, deeply committed to working unselfishly and highly collaboratively as part of a multidisciplinary team, always acting with integrity to build trust, demonstrating emotional intelligence and working with exemplary dedication to internal and external clients.
•   Ability to communicate effectively is essential.
•   Excellent secretarial and administrative skills.
•   Strong interpersonal skills, positive attitude and flexibility to work effectively in a team-oriented and multi-cultural environment. Ability to prioritize workload, be highly organized, detail oriented and work well under pressure with minimum supervision to meet deadlines.
•   High degree of initiative, proactivity, and commitment to meeting deadlines.
•   High level of proficiency of Microsoft Word, Excel, and Power point and good knowledge and curiosity for IT tools.
•   Strong English, Arabic language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation and style. 
•   Ability to handle time-sensitive assignments, and commitment to develop a positive and productive work environment.
•   Willingness to perform ad hoc tasks and to travel occasionally.
