Internal and external candidates will be considered for this vacancy. For the purposes of this vacancy, internal candidates are defined as staff members holding a regular, fixed-term or short-term graded or ungraded contract, including Junior Professional Officers (JPOs), staff on Special Leave Without Pay (SLWOP), and staff members on secondment/loan released by the Organization, unless otherwise specified in their contract. Staff members holding a regular, fixed-term or short-term graded contract will not retain their contract type if appointed to an ungraded position.
Context
Under the direct supervision of the Senior Project Associate (Social Inclusion & Integration), the Interpreter and Translator (Social Inclusion & Integration) will be responsible for providing unofficial translation and interpretation services in English, Ukrainian/Russian, and Hungarian to support persons displaced from Ukraine, while ensuring accurate documentation of services, compliance with data protection standards, close coordination with project staff, and appropriate referrals of vulnerable individuals to internal or external specialized support services, in line with IOM’s mandate and humanitarian principles.
1.Provide unofficial translations of documents obtained abroad by individuals arriving from Ukraine in English, Ukrainian/Russian, and Hungarian.
• Ensure timely and accurate translation of personal, legal, educational, and other relevant documents.
• Maintain the integrity and confidentiality of sensitive information during the translation process.
• Utilize standardized terminology and formatting in line with IOM’s internal guidelines.
• Respond to urgent translation needs as prioritized by supervisors or project staff.
2.Provide interpreting services in English, Ukrainian/Russian, and Hungarian for individuals arriving from Ukraine.
• Facilitate effective communication between migrants and IOM staff, as well as external service providers.
• Interpret accurately and impartially during interviews, consultations, and other interactions.
• Ensure cultural sensitivity and respect during interpretation activities.
• Maintain confidentiality and neutrality in all interpreting engagements.
3.Maintain continuous documentation of services provided.
• Record all services rendered using IOM's standard forms and digital tools.
• Ensure documentation is complete, accurate, and submitted in a timely manner.
• Archive documents in line with IOM’s data management and confidentiality protocols.
• Support monitoring and evaluation processes through the provision of accurate service records.
4.Register and manage personal data of service users in compliance with relevant data protection regulations.
• Collect and process data only as necessary for the provision of services.
• Ensure secure storage and handling of personal data in compliance with IOM Data Protection Principles.
• Report any breaches or suspected breaches of data security immediately to the supervisor.
• Participate in relevant data protection training provided by IOM.
5.Provide regular data reporting to Project Assistant and Senior Project Associate.
• Compile and share data on services provided, emerging trends, and identified needs on a regular basis.
• Ensure accuracy and consistency in reporting formats in line with project requirements.
• Respond promptly to data requests from the Programme Team or other relevant units.
• Contribute to project reviews and reporting by providing relevant qualitative and quantitative data.
6.Liaise regularly with Project Assistant and Senior Project Associate.
• Participate in coordination meetings and briefings as required.
• Share field insights, challenges, and feedback to support project planning and improvement.
• Collaborate to ensure service continuity and adapt to evolving needs of beneficiaries.
• Escalate operational issues and seek guidance in complex or unclear situations.
7.Refer vulnerable or high-risk cases to appropriate professionals or external organizations providing specialized support within or outside the project framework.
• Identify and assess cases requiring specialized or urgent assistance.
• Ensure timely and appropriate referrals in line with IOM's referral pathways and SOPs.
• Document and follow up on referred cases to ensure support is received.
• Maintain confidentiality and respect the dignity and autonomy of individuals throughout the referral process.
