CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the Subgrants Specialist permanent position to work in the Donor Relations and Fundraising Support (DFS) department in the Engagement chapter.
The positions will be based at CIMMYT\u2019s headquarters in Texcoco, near Mexico City.
Core Responsibilities within DFS Scope
1. Donor Relations and Fundraising Support
Support the use of donor and grants management systems (CRM, Icertis, ERP modules) by providing business input on DFS requirements and validating outputs.Ensure data integrity in donor and subgrant records in collaboration with Programs and Finance.Support preparation of Subgrants reports by consolidating programmatic and financial inputs.Contribute to dashboards and reporting tools for tracking donor contributions and fundraising activities (as end-user/business owner, not as IT administrator).
2. Subgrants Management (DFS Core)
Donor Policies Compliance Alignment: Ensure donor terms are appropriately integrated into subgrant agreements.Process Support: Provide guidance, templates, and troubleshooting for program teams managing subgrants.Financial Coordination: Liaise with Finance to ensure timely disbursement and acquittal processes for subgrants.Lifecycle Tracking: Maintain oversight of subgrant issuance, amendments, monitoring, and closeout.Capacity Building: Support training/orientation for partners on subgrant compliance and reporting requirements.Risk & Reporting: Identify compliance risks and escalate them to DFS leadership; ensure documentation for audits and donor reporting is accurate and complete.3. Collaboration and Governance
Serve as the DFS focal point for coordination with Finance, and programs on subgrants and donor reporting issues only.Participate in alignment meetings with enabling units to ensure DFS priorities are reflected in IT or Finance-led processes.Provide DFS leadership with inputs on system enhancements that affect donor relations and subgrants workflows (without assuming technical specification or testing roles).Requirements
Required qualifications, skills, and attitudes:
3 years of experience with donor relations, grant management, or subgrants processes.Familiarity with donor-funded project requirements, compliance frameworks, and reporting standards.Excellent written and verbal communication skills in English, C1 level.Bachelor\u2019s degree in Business Administration, Finance, International Development, or related field.Strong analytical and organizational skills.Demonstrated leadership capabilities with a proven ability to engage and negotiate across diverse stakeholder groupsAbility to work collaboratively across departments and with external partners.Demonstrated competencies: Critical thinking, teamwork, client orientation, problem-solving, and negotiation.
