Org. Setting and ReportingThis position is located in the Office of Administration of Justice (OAJ) and specifically in the Registry of the United Nations Dispute Tribunal (UNDT) in New York. The position is under the overall supervision of the Principal Registrar and reporting directly to a Legal Officer in the New York Registry (First Reporting Officer) and to the Registrar in New York (Second Reporting Officer). The UNDT hears and decides cases filed by or on behalf of current and former staff members appealing administrative decisions alleged to be in non-compliance with their terms of appointment or contract of employment. The UNDT conducts hearings, issues orders, and renders binding judgments. Both staff members and the Administration have a right to appeal the judgments of the Dispute Tribunal to the United Nations Appeals Tribunal. ResponsibilitiesWithin delegated authority, the incumbent will provide a wide range of general office support, service meetings, and perform other administrative support tasks. Duties will include: • Formatting of Judgments, Orders and other documents; • Under supervision, conducting final proofing of Judgments and Orders; • Creating electronic case binders using Adobe Pro or other professional editing software; • Printing and shipping case files; • Preparation of various administrative documents for the Judges; • Assisting with the travel arrangements of the Judges including preparation of travel authorizations and processing expense reports; • Updating website; Maintaining databases and files, including MS Teams folders; • Drafting responses to routine correspondence; • Scheduling appointments/meetings; Book swing space and conference rooms and arrange for equipment support for the Judges; • Serving as back-up for the Legal Assistant; • Assisting with entering the Judges’ leave requests in Umoja; • Performing other duties and special projects as assigned. Work Experience• A minimum of five (5) years of experience providing administrative and/or legal support, conference/meeting servicing, general office support or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. • Experience using Microsoft Word, Excel, and MS Teams/Sharepoint or similar systems is required. • Experience with Adobe Pro, Bluebeam or other publishing software is desirable. • Experience applying editorial guidelines for the United Nations or similar international organizations is desirable. • Experience working with ERP systems as it relates to travel administration is desirable. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this job opening, English is required.
