Since 2007 UNHCR Private Sector Partnerships has been running successful fundraising programs in Asian markets. In 2024, PSP aims to raise a minimum of HK$106 million from the Hong Kong market. PSP Hong Kong has been successfully working with outsourced face to face agencies since 2007, recruiting new donors in both Hong Kong Special Administrative Region (Hong Kong SAR) and Macao Special Administrative Region (Macao SAR) of China. Close monitoring of the vendors' performance and frequent trainings of frontliners are the keys to the success of the donor acquisition program. After running the program with vendors for years, PSP is also eager to explore to build its own capacity to manage face to face program inhouse.
The Senior Fundraising Assistant (Face to Face) will play a key role in managing operation, performance and administrative work for both outsource vendors and take lead to develop inhouse operation for PSP. Reporting to and supervised by the Senior PSP Associate (Face to Face), this position will be a focal point for vendors and inhouse team to ensure quality donor acquisition for PSP Hong Kong to comply with all relevant regulations in conducting face-to-face fundraising in Hong Kong and Macao SAR. This position is a UNOPS position with a contract of six months.
2. Purpose and Scope of Assignment

Operational Context:
The Senior Fundraising Assistant (Face-to-Face) is part of the Private Sector Partnerships (PSP) Unit in Hong Kong.
Under the supervision of the Senior PSP Associate (Face-to-Face), this incumbent will be responsible for managing and operating overall face-to face fundraising activities.
A. General
• Support to develop and manage the Face-to-Face donor acquisition program in Hong Kong and Macao SARs to meet fundraising targets.
• Assist in setup inhouse operation to recruit monthly donors by building the team from recruitment, setting up management system, KPI and internal guidelines.
• Coordination with outsourced vendors and inhouse frontliners for locations and venue.
• Assist in develop and implement strategies to make F2F Fundraiser feel an integrated part of UNHCR.
• Assist in develop relationships and cooperation with suppliers and agencies as necessary.
• Closely monitor KPIs from both program to ensure the quality of donor recruitment.
• Assist in ensuring UNHCR policy and procedures are observed.
• Working and coordinate with other function in UNHCR to ensure integration process between unit in UNHCR.
B. Training and Leadership Development:
• Assist in planning, implementing and monitoring recruitment activity to meet team objectives.
• Perform interview process to challenge and recruit good candidates to hired the quality staff.
• Assist in ensuring recruitment channel accommodate number of fundraiser base on the team KPI.
• Prepare and facilitate team meetings and Team Leaders meeting agenda to provide program updates, performance review, build team morale, motivating staff and any organizational issues.
• Assist the Manager to manage team motivation regularly to ensure the motivation of the team are in the high tone.
• Assist to the Manager to hire and train team leaders or fundraisers to regenerate the next leader from the team.
• Support to the Manager to ensure the development of fundraiser and Team Leader and next leader development with a high focus on the field and leading by example.
• Assist in ensuring the training schedule is implemented strategically within the team regularly.
• Assist in supervise the Fundraising Assistant (F2F) in providing training materials and arranging training.
C. Site and Team Management:
• Assist the team to create strategy and build good relationship with potential venue management from e.g. malls, expos, office, and other public space that can provide place for fundraising team to work and achieve new financial supporters.
• Assist in ensuring that the image and core values of organization are well presented, in the term of building relationship with venue management.
• Support to work with Team Leader and fundraisers to organize and manage creative F2F events to boost up performance.
• Execute to analyze and monitor venue performance result and make adjustment to the plan from time to time.
• Prepare for team schedule to ensure the team works strategically and full support in working together each other and to maximize the venue sites. Team Management, Monitoring and Evaluation.
• Work with Fundraising Assistant (F2F) to update F2F Performance and ensure each of the team are well informed and aware with their result in daily, weekly and monthly basis.
• Assist the Manager to ensure the performance management system for the team is implemented on a daily basis, well monitor and follow up in a clear, measurable objectives, ongoing feedback, periodic reviews, fair and unbiased evaluation.
• Assist the Manager to review team performance on a daily and weekly basis and create action plan to help staff to boost up their performance.
• Assisting in prepare and conduct performance appraisals for the team.
• Assisting in ensuring that high standards of performance, team value, and fundraising regulation and organization procedures are followed in the team.
• Assist the Manager to monitor budget versus expenditure.

3. Qualifications and Experience
(List the required education, work experience, expertise and competencies of the individual contractor. The listed education and experience should correspond with the level at which the contract is offered.)
a. Education (Level and area of required and/or preferred education)
• Completion of the Secondary Education (High School Diploma). Higher Diploma is desirable in Marketing, Communications, Translation, International Relation, Business Administration or a related field. Candidates with a Higher Diploma in other disciplines with a proven relevant professional record will be accepted.
b. Work Experience
(List number of years and area of required work experience. Clearly distinguish between required experience and experience which could be an asset.)
• Minimum 2 years of relevant working experience with High School Degree and 1 year of relevant working experience with a Bachelor’s, Master’s or Doctor’s degree, preferably in Fundraising, Sales Support, Marketing, Communications or a related field.
• Experience in an international organization or international NGO in Hong Kong is preferred.
