Under the overall guidance of the IOM Tunisia Chief of Mission and the overall supervision of the IOM Tunisia’s Monitoring Evaluation and Research Officer, and the direct supervision of the National Project Officer, the successful candidate will be tasked to assist the implementation of the project to provide empowerment service to youth and institutionalizing initiatives in the region of Tunis. the project will strengthen the capacities of local youth-related services through trainings of youth counselors, equipment provision and support to cultural and sports community-based activities.
The Project Assistant will undertake the following tasks:
- Support the Project Manager and National Officer in the implementation and reporting of the project.
- Organize workshops, meetings, and events (seminars and training) program and the prepare their reports.
- Assist in the recruitment and monitoring of service providers. Report any breaches to quality control or setbacks that may affect the deadlines.
- Monitor project progress and pro-actively suggest tracking and reporting tools.
- Assist in the coordination with public and private institutions to implement training sessions and coaching activities.
- Assist in the preparation of the activities workplans including logistics and budget. Support the Project Manager in reviewing the training costs and project budget lines and tailor the training programs as necessary.
- Assist in the organization of the technical and financial aspects related to the project progress including contracts with service providers, procurement of required items, processing of payments, submission of reports and all related documentation, and follow-up on monitoring and reporting tools.
- Provide logistical support for the organization of field missions, meetings, workshops (travel, accommodation, catering, preparation of communication materials.
- Support the smooth daily running of all administrative functions in a timely fashion, and in accordance with IOM’s regulations and procedures.
- Monitor and refresh all beneficiary-related data through diligent follow-up.
- Assist with the drafting of interim and final reports of the projects, in line with donor requirements and IOM standards and procedures, hence contributing to timely submission of such reports.
- Follow-up on documents (including purchase requests, purchase orders, requests for payments, vouchers, HR forms) and correspondence for signature, and liaise with IOM staff. as needed.
- Create and maintain a proper documentation and systematic tracking and filing systems of administrative documents including the maintenance of the classification system (Hard/Soft copies) and databases of the relevant documents.
- Maintain the confidentiality and integrity of all related information on the project, especially data regarding applicants and selected beneficiaries of the project.
- Perform other related duties as may be assigned. Education
- Bachelors or Equivalent or Higher degree in Business Management, Business Administration, from an accredited academic institution and three (3) years of relevant professional experience;
- High School Degree/Certificate in the above fields with five (5) years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Experience
- Experience and interest in entrepreneurship and international cooperation.
- Experience in administration and technical assistance to executives is an asset.
- Effectively coordinates actions with other implementing partners.
- Works effectively with local authorities, stakeholders, beneficiaries, and the broader community to advance country office or regional objectives.
- Prior work experience in an international organization and/or non-governmental organizations (NGO) is an advantage.
