ResponsibilitiesWithin limits of delegated authority, the Team Assistant may be responsible for the following duties: • Provides general office support services to help ensure the smooth functioning of an organizational unit. • Proofreads written products for completeness and grammatical and typographical accuracy. • Assists in the coordination of programme/project planning and preparation work for departmental programme/project initiatives; monitors status of programme/project proposals and receipt of relevant documentation for review and approval. • Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. • Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. • Maintains files (both paper and electronic) and databases for work unit. • Checks accuracy of simple calculations, codings, data, etc. • Performs a variety of administrative duties (e.g. meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.). • Delivers urgent mail/messages. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Serves as focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with a diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc. • Organizes and provides secretarial, administrative and logistics support to seminars, conferences and workshops, processing travel of staff and meeting participants. • Provides secretarial, administrative and logistics support to publications. • Performs other duties as assigned. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher. Acquaintance with national (Brazil) institutional settings is required. Experience with event planning and organizing is desirable. Experience with international cooperation is desirable. Professional experience with sustainable development is desirable. One (1) year or more of experience in data analytics or related area is desirable.
