Organizational Setting
Through its Country Offices, or FAO Representations, FAO assists governments to develop policies, programmes and projects to address hunger and malnutrition, and provides technical support for the sustainable development of their agricultural, fisheries and forestry sectors. The activities of the FAO Country Offices include design and implementation of country-tailored field programmes, liaison with local donor representatives, and active public awareness-raising and outreach activities related to FAO initiatives such as the World Food Day.
The position is located in the FAO Representation in Maputo, Mozambique.
Reporting Lines
The Programme Assistant reports to the Assistant FAO Representative (Programme). He/she works with wide latitude for independent action and gives guidance and advice to clerical and/or junior programme support staff. He/she works collaboratively with various Project Management Units operating under the Country Office and also with the administrative staff of the Country Office.
Technical Focus
The Programme Assistant plays a lead role in the coordination of programme/projects support services for the office. He/she performs a broad range of programme, planning and budgeting activities requiring in-depth analysis and interpretation of relevant policies, procedures and practices. The incumbent provides procedural guidance to managers and staff in the office or location.
Tasks and responsibilities
• Support the program and project teams to assure that project plans and reports are submitted on time;
• Collect and compile information and, in close collaboration with the program and project teams, draft program related reports and other corporate reports (briefs, etc);
• Assure communication with FAO SFS, RAF and HQ and external stakeholders (government, private sector, etc) is timely done and followed up. This includes collection and compilation of information, in close collaboration with programme/ project teams, to reply to emails and requests, nominations, etc;
• Assure that missions are timely prepared and follow up with relevant units to assure the preparations are finalized on time;
• Ensure close follow up with program and project teams to assure that information is regularly sent to the communication and visibility team for publication, verifying that materials are accurate and complete;
• Support the resource mobilization efforts, contributing with coordination and compilation of inputs for project proposals, assuring alignment with FAO strategic framework and insertion of information on the internal digital management system; and
• Maintain effective working relationships with key stakeholders and update the list of contacts of the representation, including the government focal points for relevant FAO areas and initiatives;
• Organize missions, meetings, workshops, outreach campaigns and consultations with stakeholders (government officials, donors, producers, etc) and assure that decisions are followed up;
• Performs other related duties as required.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• University degree in Agriculture (crop, livestock, fisheries, aquaculture), rural development or any other related field;
• 5 years of relevant experience in administrative/financial/planning/programming/budgeting activities.
