Terms of ReferenceORGANIZATIONAL CONTEXT
UNHCR has launched Operational Strategy on Climate Resilience and Environmental Sustainability (2022-2025) and UNHCR’s new Strategic Plan for Climate Action 2024-2030. One of the major areas of the strategy aims at improving the sustainability of the end-to-end supply chain, including planning, sourcing, contents, manufacturing processes, procurement, delivery and lifecycle management of core relief items and other goods.
Therefore, the Division of Emergency, Security and Supply (DESS) / Supply Management Service (SMS) is implementing a comprehensive transformation of the UNHCR Supply processes and actions, with an expanded focus on the sustainability of the end-to-end supply chain.
DUTIES AND RESPONSIBILITIES
Under the overall guidance and supervision of the Chief of Sourcing and Global Market, the Intern will be responsible for supporting a variety of tasks and accountabilities to support the procurement of greener goods to ensure the implementation of Operational Strategy on Climate Resilience and Environmental Sustainability (2022-2025).
We are seeking a competent, motivated and passionate individual who may have a background in contract management and procurement.
Some of the specific tasks may include, but are not limited to:
o Assist in drafting, reviewing, and managing contracts, amendments, and other procurement documents.
o Assist in preparing abstracts of offers and compiling data contained in quotations, proposals and/or bids to determine which supplier can deliver the required goods/services at the best terms and lowest costs possible under the guidance of the Procurement Unit staff.
o Check the accuracy and completeness of the information and documents provided by suppliers.
o Coordinate with requesting units to collect information for timely submission of contract/amendment requests.
o Update the supplier information (Cloud ERP) to reflect any changes in supplier status, contact details, or any other relevant information.
o Help prepare, organize and request contracts and amendments to obtain internal approvals in line with UNHCR policies and procedures.
o Support the preparation, approval and distribution of offer acceptance and rejection letters, ensuring consistency and professionalism.
o Maintain relevant internal databases and files; keeps track and update any contractual agreements in the internal system (Cloud ERP) and informs requesters of any changes.
o Interact with internal and external stakeholders on contract administration.
o Contribute to internal reporting tasks of the procurement unit.
o Perform other duties as assigned.
At the end of this internship in one of the UNHCR HQs, the successful candidate will have gained in:
• Exposure to and experience in procurement at the corporate level, core function within UNHCR;
• Exposure to sustainable supply in the context of emergency, humanitarian and public procurement;
• Exposure to an international multicultural work environment and team;
• Exposure to headquarters and country offices.
ESSENTIAL MINIMUM QUALIFICATIONS, PROFESSIONAL EXPERIENCE AND REQUIRED COMPETENCIES
• Studied/ Studying Law, Business Administration, Supply Chain, Logistics or a related field;
• Strong interest in humanitarian sector and strong awareness of public procurement.
• Excellent data collection, data analysis, and data presentation skills;
• Excellent communication, presentation, facilitation and interpersonal skills;
• Excellent written and spoken English, any other UN language, is an asset.
• Knowledge of contract management is an asset;
• Knowledge of sustainability, business operations, procurement, supply chain, and logistics is desirable.
ELIGIBILITY
To qualify for an internship with UNHCR, one of the following requirements must be met:
a) Be a recent graduate * or current student in a graduate / undergraduate school program from a university or higher education facility accredited by UNESCO; and
b) Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization.
c) An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including a Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.
* Recent graduates are defined as individuals who completed their studies within one year before applying for an internship with UNHCR.
The candidate must be legally present in Hungary at the time of application.
ALLOWANCE
Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation, and living expenses.
