The position of Operations Assistant is assigned to the Office of the Director General (OPSD) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated Technical International Staff and officer (senior/principal/lead, as applicable).
As an Operations Assistant, you will provide operational support for the smooth office administration of OPSD and perform coordination and administrative work.
a. Administrative Support
Organize mission travel, including forward planning, by reviewing and recommending appropriate flight options, planning mission itinerary, including transport and hotel accommodation, preparing meeting schedules, handling mission authorization requests and travel requests and claims.
Screen calls, take accurate messages, and deal with queries from internal/external callers to ensure that these are addressed and referred to concerned staff. Attend to visitors and ensure they are escorted to meetings and are referred to the concerned staff. Collaborate with ADB staff inside and outside the work area, clients, and external stakeholders, as required. Support in organizing and managing files to ensure the efficient monitoring and retrieval of information. Respond to standard emails, correspondence and inquiries. Manage document requests, ensure proper dissemination, monitor actions required, and ensure timely submission. Help gather and consolidate inputs to briefing notes, reports, and presentations. Perform reliever functions.b. Coordination
Help coordinate PSOD's participation in activities involving internal committees, working groups and external institutions. Liaise with partner departments/offices and stakeholders in respect to internal committee and working group matters. Help supervisors in arranging and coordinating activities and events including panels, webinars, seminars and workshops. Help coordinate and prepare invite lists, presentations and marketing materials.c. Others
Carry out other logistical and administrative tasks as are reasonably assigned in consonance with the role. This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
