    Organizational Setting and Reporting Relationship

    The position of Operations Assistant is assigned to the Operations Coordination Unit (SAOC) within the South Asia Department (SARD). You will be based at the Headquarters in Manila, Philippines.

    You will report to the designated International Staff and Officer (senior/principal/lead, as applicable).

    Your Role

    As an Operations Assistant, you will provide operations support for the Operations Coordination Unit and Private Sector Development Unit. This includes liaising and facilitating SAOC functions daily through necessary communication and coordination with various offices in HQ and in the resident missions (RMs).

    You will:

    • Provide support to overall front office management including coordination and communication with HQ and within RMs, the government, development partners and other external clients of ADB on administrative and operational matters.
    • Help administer Technical Assistance (TA) projects by collecting relevant data and administrative support.· Assist the team in the recruitment of consultants and in the preparation of Consultants Management System (CMS) requests, documentation for short-listing and processing of contract variations and claims.
    • Help monitor operational and administrative works, tracking milestones, and flagging delays for management attention.
    • Ensure that all correspondence and documents for supervisors are correctly typed and prepared in compliance with ADB's standards. Track the flow of documents with the use of database for effective monitoring.
    • Provide efficient reception services by screening incoming telephone calls and taking accurate messages. Deal with queries from callers and visitors, and establish the nature and priority of requirements of unexpected visitors. Ensure that they are routed in a timely manner to the concerned staff.
    • Ensure the effective coordination of supervisors' schedules by maintaining diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors and following ADB procedures.
    • Coordinate meeting arrangements, workshops and capacity building events and maintain adequate stocks of office supplies as required.
    • Ensure that office filing systems and records are maintained and updated in accordance with an existing framework for easy retrieval.
    • May relieve other Senior Operations Assistants/Executive Assistants as directed.
