    Organizational Setting and Reporting Relationship

    The position of Operations Assistant is assigned to the Portfolio Management Division (PSPM) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.

    You will report to the designated International Staff and senior National Staff.

    Your Role

    As an Operations Assistant, you will provide operational support in activities relating to project administration. You will also support a portfolio team comprising of Deal officers and Analysts.

    You will:

  • Support and coordinate inputs from the team members for trackers maintained by PSPM.
Help prepare evaluation reports by ensuring compliance with ADB standards, coordinating interdepartmental comments, editing, approvals and reporting suspension post evaluation report submission. Support project administration by ensuring adherence to existing procedures and guidelines, coordinating the review of documents with relevant teams , and monitoring deadlines and report disclosures. Help initiate and update workflows in internal credit systems, Management Approval System, Customer Relationship Management and Portfolio database. Assist in handover processes by ensuring correct tagging of deal teams in IT systems and portfolio supervision costs are noted in internal tracker. Assist with consultant selections and contract variations in Consultant Management System. Help plan project-related missions including preparations of meeting agenda and coordination with clients, post-business travel requirements such as preparation of briefing notes, back-to-office reports, and monitoring expenses and accounts receivables. Contribute to the implementation of record/file system of projects for easy retrieval of files. Support data analysis and production of presentation decks for knowledge sharing events Support management team in organizing PSPM-wide activities. Provide support in coordinating meetings with internal and external clients. Provide back-up support to other assistants, as necessary.

Qualifications

You will need:

Bachelor's degree in business administration or a relevant discipline. At least 5 years of relevant professional experience. Ability to interact in a professional manner with ADB team members. Strong interpersonal skills; ability to develop relationship internally and externally in a multilateral environment. Ability to collaborate with teams as a constructive team member. Strong oral and written communication skills in English Planning, coordination and time management skills Proficient in Outlook, Word, Excel, and PowerPoint, SharePoint Familiarity in videoconferencing tools (MS Teams, Zoom, Webex)
