Role and responsibilities
The purpose of a Logistic assistant is to assist in the day-to-day implementation of the logistic function’s responsibility.
Generic responsibilities
Adhere to NRC policies, handbooks, guidelines, and donor requirements
Assist with the implementation of the logistic function’s portfolio according to Plan of Action
Provide logistic administration and basic support
Prepare and develop status reports as required by management
Ensure proper filing of all support documents
Assist in the planning and delivery of logistic activity
Maintain logistic records, suppliers and equipment
Promote and share ideas for improvement of the logistic function
Perform other duties, as assigned by Line Manager
Contribute to implementation of Safe and Inclusive Programming Minimum Standards across your area of work.
Specific responsibilities
Asset Management:
Under the supervision of the Support Manager maintain the asset register of the NRC Palestine Gaza Area, with complete information and share the reports with management regularly.
Coordinate with the logistics and IT team to receive newly purchased items and assets from suppliers as per requisitions/samples, issue asset tags as needed, and deliver/dispatch those to the concerned persons/locations and maintain the record accordingly.
Coordinate with ICT and procurement for Assets' repair and maintenance.
Fleet Management:
Manage the fleet of NRC in the area office providing assistance on movement planning
Focal point for movement requests by staff members from the area office.
Focal point for maintaining the fleet in order and monitoring the in-vehicle documentation
Responsible for movement planning for drivers
Focal point for communication with the Fleet Service Provider.
Procurement:
Conduct all procurement process according to NRC logistics policies, procedures and donor guidelines
Receive requisitions and source bids & quotations for the purchase’s goods and services in accordance with NRC procurement regulations identification and obtaining of all resources required to ensure smooth functioning of field logistic operations.
Issuing PO/contracts and contract amendment if necessary and ensure monitor all PO/contract statues till delivery.
Provide regular updates to requesters and other stakeholders.
Ensure all logistics archived filling are according to NRC’s guideline and SSD’s SOP.
Warehousing:
Ensure availability of storage space and maintain orderliness and cleanliness of the warehouse/storeroom(s) at all times, ensuring that only authorized staff are allowed to enter the warehouse/storeroom.
Receive, store, and distribute materials and supplies according to NRC procedures.
Supervise packing, loading, and unloading of all materials and supplies.
Act as a focal point for reception of Stock Release Forms and coordination with programs in upcoming distributions.
Organize transport of materials and supplies according to NRC procedures. Ensure third party transportation service provisions (e.g. Forklift, truck rentals) are tracked properly with clear donor/project information.
Maintain records of all incoming and outgoing materials and supplies, through physical counts, issuance of GRNs and Waybills.
Ensure stock cards and bin cards are updated on a daily basis.
Generic professional competencies:
Basic experience from working as a function officer in a humanitarian/recovery context
Previous experience from working in complex and volatile contexts
Good knowledge in English, both written and verbal
Professional competencies for this position:
Fluency in Arabic, both written and verbal
Good knowledge of logistics functions and needs in an INGO context
Bachelor’s degree in supply chain, Business Administration or any relevant field
Ability to work under pressure
Valid driver’s license
