Logistics & Procurement Officer
- Conduct weekly Market assessment to update the programs teams regarding the prices in the Market
- Receive PRs and Initiate a procurement process based on approved thresholds,
- Ensure that PRs are properly reviewed and corresponding RFQs are well prepared with clear specifications.
- Ensure that all purchase documentations such as purchase request, request for quotations bid analysis, Evaluations reports are in order.
- Conduct constant research to broaden and ensure a vendor database is fully utilized.
- Responsible for the timely purchases for request for Jonglei and GPAA, and the other field offices.
- Conduct timely purchase of items using advance for direct procurement and timely settlement.
- Plan and arrange for deliveries with relevant colleagues within the logistics and programme department.
- Ensure that RFQs are prepared timely and prequalified suppliers are notified to use the online system.
- Make follow-up with finance department to ensure that payments of suppliers are processed timely
- Be able to update regularly the Contract tracking and Waiver registry
- Should be able to Carry out tender Process if assigned.
- Conduct Market analysis and share the report with Area Support Manager and Logistic Coordinator in the CO.
- Ensure that all procurement supporting documents are well named and filed in unit4 as per the SOP and Office 365.
- Ensure Coter check is conducted for all the Companies and owners.
- Ensure that all the items are verified by the PR raiser and stock in the Warehouse if any.
- Ensure that all the items are delivered to the respective location by the Vendor. This means the PR raiser must consider transport cost in the PR
- Ensure that all the transiting Items are well tag and label in the WH
- Ensure that all the Assets are tag, and registered in NRC Systems
- Ensure that all the monthly Logistic reports are submitted to Logistic Manager and Area Support Manager
- Other responsibilities as delegated by the line manager.
- Bachelor’s degree or master’s in business administration, Commerce, Procurement and Marketing, Finance and Accounting from recognised University is preferably in this position. Master’s from this field is an added advantage
- At least 5 years working experience in a busy Logistics department preferably with INGO or UN.
- Evident Experience of managing Logistics teams like Assistants, Casuals and Interns
- Understanding of various donors’ requirements
- Knowledge of the local Context
- Excellent interpersonal, written, and verbal communication skills.
- Fluency in the English, both oral and written
- Working knowledge of Juba Arabic
