The Organizational Setting

The position is located in the Office of the Secretary General (OSG). The Secretary General, with the support of the Office of the Secretary General, provides leadership and general direction to the work of the staff working in the ICAO Secretariat. The Secretariat consists of the Office of the Secretary General, five Bureaus, seven Regional Offices, the Finance Branch, the Office of Internal Oversight, and the Ethics Office. The five Bureaus are as follows: the Air Navigation Bureau, the Air Transport Bureau, the Capacity Development and Implementation Bureau, the Legal Affairs and External Relations Bureau, and the Bureau of Administration and Services, which are located at ICAO Headquarters in Montreal. 

ICAO Regional Offices include the Asia and Pacific Office in Bangkok, Thailand; the Eastern and Southern African Office in Nairobi, Kenya; the Western and Central African Office in Dakar, Senegal; the Middle East Office in Cairo, Egypt; the European and North Atlantic Office in Paris, France; the South American Office in Lima, Peru; and the North American, Central American and Caribbean Office in Mexico City, Mexico.

The incumbent reports directly to the Personal Advisor of the Secretary General which whom he/she consults on a regular basis. Staff members of the Office of the Secretary General and the Secretary General may provide direct input and guidance to the work of the intern. 

Terms of Reference

Under the supervision of the Personal Advisor to the Secretary General, the intern will: 

  • Support the OSG in the overall preparation of the ICAO Assembly, Council meetings and senior-level management meetings
  • Support the coordination and preparation of background and reference documentation for high-level meetings, bilateral or multilateral visits, conferences and missions by the Secretary General 
  • Draft reports and minutes of meetings 
  • Assist in the preparation of correspondences, briefings and talking points, and support the preparation of presentations and other material
  • Assist OSG in the development of management tools such as tracking tools, as may be required
  • Support the tracking of decisions and instructions as well as assist in monitoring their implementation
  • Assist in coordinating the formulation of strategies, assessments and administrative issuances
  • Support content management on web-based platforms 
  • Perform other tasks as assigned.

    Qualifications  Education

    At the time of application, candidates are required to have completed or be enrolled in a graduate degree programme (second-level university degree or higher) preferably in a field of study related to political science, law, public administration, management, or a related field in the aviation sector.

    Applicants pursuing studies in countries where higher education is not divided into undergraduate and graduate stages should have completed at least four years of full-time studies at a university or equivalent institution towards the completion of a degree.

    Language

    Essential requirements: Fluent reading, writing and speaking abilities in English.

    Desirable requirements: A working knowledge of a second language of the Organization (Arabic, Chinese, French, Russian, or Spanish). 

    Work Experience

  • Proficiency in Microsoft Office including word, excel and power point.
Practical experience in using collaborative documentation processing tools or work management platforms is an advantage.  Knowledge of ICAO and its mandate, the aviation sector or the United Nations system is desirable. 

Conditions of Internship

Interns are not paid. All costs related to travel, insurance, accommodation, and living expenses must be borne by the intern.

The duration of the internship is six months, with possibility of renewal subject to the requirement.  The intern is expected to work five days a week, on a full-time basis. (The Minimum duration for this internship is 4 Months)

Interns shall not be eligible to be engaged in any other form of employment within ICAO during the period of internship and shall not be eligible to apply for or be appointed to any post in the Secretariat or be contracted for any other remunerated employment with ICAO for the six months immediately following the end of their internship.
