    BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

    The position is based in N’Djamena and will be part of the CO Management Office. The position will work closely with the Chad Country Director to whom it reports. The incumbent will supervise one Business Support Associate. The purpose of the role is to assist the Country Director (CD) in Chad by fulfilling the diverse mandates. It involves offering support and advice across all facets of their responsibilities. This includes closely monitoring key areas relevant to their mandates and gathering necessary advice and information to help define strategic priorities.

    ACCOUNTABILITIES /RESPONSIBILITIES:

    • Coordinate and manage activities within the management office of the CD. This includes supervising and organizing their substantive agendas and correspondence, arranging and preparing field visits, coordinating briefings, and ensuring the preparation of speaking notes and reports.

    • Monitor priority areas relevant to the CD’s mandate and provide support in defining the strategic direction and priorities.

    • Ensure smooth communication and information exchange between the Management Office and the rest of the Country Office, thereby supporting the CD in effectively setting tasks and priorities.

    • Conduct critical analysis and reviews of the contributions and preparatory inputs from the Chad Country Office for the UNCT, HCT, roundtables, and other key exercises. This is done in close consultation with relevant partners and stakeholders both within and outside of WFP.

    • Support coordination mechanisms within the Chad UNCT, UN agencies, and other forums/stakeholders to facilitate the updating of program delivery information and the achievement of operational benchmarks.

    • Assist the CD in meetings with WFP senior management and the UN, as well as in the follow-up of issues related to WFP programs. In close coordination with Deputy Country Directors, as well as adjacent functions such as OIM, Partnerships, and Communications, coordinate the preparation of strategic outputs. Oversee and coordinate all functions of the CO Management Office managing other staff as necessary.

    • Ensure that requests, feedback and concerns from staff in matters related to the Country Director are dealt with in a professional, confidential and appropriate manner in line with Country Office and WFP policies and procedures.

    • Lead and motivate staff, provide coaching and guidance to ensure appropriate development and enable high performance.

    • Manage special projects and conduct research as and when required by the Country Director.

    • Ensure that confidentiality on all subject matters is maintained as required. Perform other related duties and assignments as and when required by the CD..

      QUALIFICATIONS & EXPERIENCE REQUIRED:

      Education:

      Advanced University degree in Economics, International Development, Social Sciences or other relevant field, or First University degree with additional years of relevant related work experience or advanced training/courses.

      Experience:

      A minimum of five (5) years of postgraduate professional experience in a relevant field, with a focus on international humanitarian development. Preferred background includes prior experience in a similar Special Assistant role, coordinating and managing activities and handling special projects. Experience of managing teams of staff with related areas of expertise.

      Knowledge & Skills:

      • Strong planning, prioritization, and organizational skills.

      • Strategic, analytical, and problem-solving skills, with the ability to analyze and interpret information and develop talking points and key messages.

      • Interpersonal skills, with demonstrated ability to build and maintain relationships and negotiate to achieve objectives.

      • Ability to work in a fast-paced environment and under pressure with tight deadlines, while maintaining calm and positive attitude for the benefit of maintaining positive team dynamics.

      • Capacity to handle multiple tasks simultaneously and respond to changing priorities.

      • Strong sense of responsibility, confidentiality, and accountability.

        Language Fluency (level C) in English and French.
