Terms of ReferenceIn order to be considered eligible for an internship, the following criteria must be fulfilled:
• Be a recent graduate or current student in a graduate/undergraduate/doctorate school programme from a university or higher education facility accredited by UNESCO; and
• Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization.
• Not have immediate relatives (father, mother, brother, or sister) working for UNHCR as a staff member on any contract type or as an affiliate at the time of application.

Interns will be provided with financial support under a Food and Local Transportation Allowance and also will be entitled to annual and sick leave usage. The approximate allowance for interns is monthly 2650 PLN.

Organizational context
Poland’s eastern borders with Belarus, the Russian Federation and Ukraine serve as the European Union’s external boundaries. The country currently hosts 1 million refugees from Ukraine, in addition to a smaller number of asylum seekers and refugees from different countries.

UNHCR has been in Poland for 30 years (since 1992), working with national authorities on refugee-related matters. With the Ukraine emergency, UNHCR has substantially scaled up its presence and operations. It currently has a Country Office and Frontex Liaison Office in Warsaw, three Field Offices in Warsaw, Rzeszow and Lublin and one Sub-Office in Krakow, with a workforce of nearly 130 national and international staff.

The overarching principles guiding UNHCR’s strategy in Poland include: i) localization and centrality of protection, ii) strengthening national systems, avoiding duplication and rationalizing the Refugee Coordination Model (RCM) so that it serves the purpose efficiently and iii) capitalizing on the Global Compact for Refugees (GCR) paradigms to advance the rights of refugees and stateless persons in Poland.

As the UN-mandated agency to provide international protection to refugees, UNHCR leads the refugee coordination structure in support of the Government-led response, with the aim to complement, support and strengthen the national response to the refugee crisis, along with ensuring no duplication of interventions and complementarity of action.

The Inter-Agency Coordination Intern is part of a small team based in UNHCR’s Country Office in Warsaw, closely cooperating with UNHCR sub and field offices in Poland. UNHCR leads the inter-agency efforts, under the Poland chapter of the Regional Refugee Response Plan (RRP), which currently includes over 80 partner organizations, the majority Polish NGOs.

The position
We are looking for a team-spirited and dynamic creative thinker, interested in organizing events with multiple national and international stakeholders. Specific terms of reference are given below.

The incumbent will support the Senior Inter-Agency Coordination Officer, engaging with multiple stakeholders such as Government counterparts, United Nations entities, NGOs, the Red Cross and Red Crescent Movement, as well as the NGO Forum.
Tasks include for instance the organisation of meetings and events, as well as the collection and presentation of information on aspects of the humanitarian response from multiple counterparts.
Duties and responsibilities
The tasks include but are not limited to:
• Supporting the Senior Inter-Agency Coordination Officer in the organization of the next Poland specific Refugee Response Plan Launch and subsequent post event follow-ups. This will include tasks such as: Support team members involved in the preparation; identifying and listing participants; preparing correspondence in English and Polish; contacting service providers.
• Assist in follow-up, analysis and reporting related to UNHCR-led and other inter-agency plans and appeals (Refugee Response Plans, Contingency Plans , etc.)
• Undertaking primary analysis and research, collate available information on a range of topics relevant to inter-agency fora;
• Assisting in the preparation and coordination of UNHCR meetings, and drafting meeting minutes and reports;
• Attending briefings and meetings and taking notes as requested;
• Supporting the Inter-Agency Coordination team in translating relevant documents, articles, legal texts as required;
• Undertaking other tasks as required.

Desirable qualifications and skills
• Knowledge of Microsoft Office and Sharepoint;
• Excellent organizational skills;
• Experience in organizing events or conferences.
