Result of ServiceThe United Nations Regional Centre for Peace and Disarmament in Asia and the Pacific (UNRCPD) is a regional arm of the United Nations Office for Disarmament Affairs (UNODA) and assists countries in the Asia-Pacific region to achieve their peace, security, and disarmament goals, through provision of substantive support; coordination of activities at the sub-regional, regional and international levels; and information sharing on global and regional activities. UNRCPD is mandated to provide, on request, substantive support for initiatives and other activities, mutually agreed upon by the Member States of the Asia-Pacific region, for the implementation of measures for peace and disarmament, and to coordinate the implementation of regional activities in Asia and the Pacific. (UN General Assembly resolution A/42/39D of November 30 1987). UNRCPD works in close partnership with regional and sub-regional organizations, as well as with other United Nations entities and civil society organizations. The Centre focuses its activities in three main areas: providing capacity building and technical assistance, creating and participating in dialogue fora, and engaging in outreach and advocacy on disarmament issues. Work LocationKathmandu, Nepal Expected duration3 Month Duties and ResponsibilitiesThis position is located in the UN Regional Centre for Peace and Disarmament in Asia and the Pacific, of the UN Office for Disarmament Affairs, based in Kathmandu, Nepal. The Administrative Assistant will be responsible for the following duties: • Provide day-to-day administrative and clerical support to the office/programme team. • Assist in drafting, formatting, editing, and finalizing correspondence, memos, and reports. • Maintain electronic and physical filing systems ensuring proper record management. • Manage incoming and outgoing correspondence, emails, and calls, and ensure timely distribution. • Support organization of meetings, workshops, and events. • Arrange travel logistics including visas, hotel bookings, and assist in processing travel request/claims. • Coordinate with vendors and service providers for office-related requirements. • Assist in preparation of requests for quotations (RFQs), and vendor communications and preparation for the purchase order. • Support inventory management, tracking of office supplies and equipment. • Assist in processing payment requests, vendor invoices and Nepal VAT refund. • Provide support in recruitment processes (scheduling interviews, compiling documentation, etc.). • Ensure proper functioning of office facilities, supplies, and equipment. • Assist in arrangements of vehicle transportation, regular vehicle maintenance, renewal of registration and insurance • Perform any other administrative duties as assigned by the supervisor. Qualifications/special skillsHigh school diploma or equivalent. Five (5) years of progressively responsible experience in administrative, logistics services and related area is required. LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this Individual Contractor posting, fluency in oral and written English is required.
