I. MSF INTERNATIONAL
Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of race, religion, gender or political affiliation.
MSF International is the legal entity that binds together MSF’s 27 Institutional Members of which 24 sections, and other offices such as Branch Offices and Satellites. MSF International provides coordination, information and support to the MSF Movement, as well as implements international projects and initiatives as requested.
II. PLACE IN THE ORGANISATION
We are looking for an HR Officer to temporary replace the current holder. The person will act as the first point of contact for HR-related queries from Geneva-based employees and external partners. S/he will report to the Human Resources Manager (HR Manager) and will work closely with other HR Officers in Geneva, the HR managers and administrators in other MSF offices.
III. OBJECTIVES OF THE POSITION
The HR Officer will ensure that our HR unit supports our employees while conforming to labour laws and contribute to the continuous improvement of HR practices and processes. S/he is responsible for the timely processing and follow-up of the HR administration related to the staff employed by MSF International in Geneva.
IV. MAIN RESPONSIBILITIES
Is the first point of contact and responsible for all HR-related administration in Geneva.
1. Organizes and manages administratively the employment cycle of MSF International staff holding a Swiss contract. This includes:
Ensures administrative on/off boarding of staff based in Geneva.Processes all employment-related documentation (contracts, amendments, attestations, certificates etc.) established in the name of MSF InternationalEnsures proper records for each employee and updates regularly the personnel filing system.Is the focal point for staff’s administrative queries2. Processes the monthly payroll (system in use: Dynamics 365):
Registrates new employees in the system.Accurately records all monthly changes in the payroll according to the Swiss regulations and internal practices and generates the payroll timely for validations. Follows up on special leaves (maternity, unpaid etc.).3. Ensures internal compliance with the Swiss Labour Law (Code des Obligations), social regulations and immigration laws:
Requests and follows up on work permits renewal and liaises with the Immigration office in Geneva.In cooperation with other HR colleagues, prepares the documents for audits and exchanges with auditors on precise questions.Ensures compliance with the Swiss employer’s obligations regarding registration and reporting (tax, teleworking, Caisse de compensation etc.)Fully manages insurance files and claims (sickness, accident, loss of income, maternity, LPP pension etc.)Participates in the preparation the annual reporting (AVS, LAA, LAA complémentaires, loss of income due to sickness, LPP).Stays informed of upcoming new legal obligations and informs the HR team timely.4. In cooperation with the HR Officer Administration and Tools, participates in HRIS improvements:
Participates in HR softwares updates (tests and feedback) whenever required.Performs other duties as requested by the HR Manager.
