About this position:

The Housing and Urban Development Division (HUD) part of the Climate Change and Sustainable Development Sector (CSD) is responsible for developing and overseeing analytical support and strategic thinking with a forward-looking vision on cities sustainability in LAC, thus seeking to contribute to the goals and commitments included in both the Sustainable Development Goals (SDGs) and the New Urban Agenda.

HUD is looking for an upbeat General Administration Consultant with excellent communication, inter-persinal skills to support the Division Chief in day-to-day activities and to provide support in all administrative and logistical tasks for Division. The consultant will be assigned to work with HUD Fonto Office.

What you’ll do:

Division Chief Support:

  • Provide overall administrative support to the Division Chief. Manage her agenda and scheduling priorities (meetings, conferences and any other activities in and out of the Bank).
  • Prepare draft responses to routine correspondence.
  • Compile and provide to the Division Chief, in advance, relevant materials that will ensure she is properly prepared to attend meetings and other events.
  • Make travel arrangements and hotel reservations and prepare Travel Authorizations (TA and the corresponding Statement of Expenses (SOE) using the applicable Bank systems and as per departamental internal procedures.
  • Assist in the preparation of presentation materials, meeting minutes, and any other official documents and ensure these are properly filed (either in paper or electronic format) for easy accessibility and future reference.

    Front Office Support:

    • Support in the application process for the participation of HUD staff members in external events representing the Bank in accordance with the provisions of the Bank Policy and following the requirements established by ORP and SEC.
    • Support the coordination and execution of internal and external meetings and events including the coordination and follow-up of financial transactions related to the event, and the preparation of Group/Guest Travel Authorizations (TA) and Statement of Expenses (SOE) when applicable.
    • Distribute general inter-office mail. Update HUD’s email distribution lists and intranet directories.
    • Assist in the coordination of computer equipment assignments and returns for HUD's consultant's contracts.
    • Assist with office supply inventory and office space management logistics and renovations.
    • Serve as back-up person for the hiring process of Complementary Workforce (CW) contracts in Service Now, following up on each contract request from beginning to end.

      The afore mentioned activities are part of the position's main responsibilities; however, the do not exclude additional administrative activities that may be necessary for completing tasks.

      What you'll need:

      • Education: Associate Degree/Technical studies in Business Administration, Computer Science, Communications, or any other related field.
      • Experience: At least 2 years of progressive professional experience in office support related activities are required. Experience in an international/multilateral organization is a plus.
      • Languages: Proficiency in English and one of the other Bank official languages (Spanish, French or Portuguese) is required.
