THE ORGANIZATIONAL SETTING
The South American (SAM) Regional Office is primarily responsible for maintaining continuous liaison with the States to which it is accredited and with appropriate organizations, regional civil aviation bodies and sub-regional bodies and UN Agencies and programmes. The Regional Office ensures interregional coordination and promotes the timely and harmonized implementation of ICAO policies, decisions, Standards and Recommended Practices (SARPs) and air navigation plans. The Regional Office also provides technical guidance and assists States in their implementation activities.
Within this context, the incumbent supports the Administrative Officer, the Administrative Associate and the General Services/Custom Clerk/Driver in activities related to conference services, procurement, building and equipment maintenance, mailing, messenger services, printing and documents reproduction, as well as acting as a driver and other general services. S/He will be part of a team actively engaged in contributing to and accomplishing the vision, mission and goals of ICAO.
The General Services Clerk/Printing Operator/Driver reports directly to the Administrative Officer and receives instructions from the Administrative Associate.
MAJOR DUTIES AND RESPONSIBILITIES Function 1 (incl. Expected results)Provides messenger duties, achieving results such as:
Deliver and collect mail and any other correspondences to and from various offices for distribution within the Regional Office, ensuring that the documents are circulated correctly and at a timely interval;Archive documents as requested and ensure the archive room is kept in order and tidy.Function 2 (incl. Expected results)Acts as driver for the official vehicle of the Office, achieving results such as:
Perform transport service to the Regional Director or other staff to meetings outside the Office, whenever necessary, and transport official visitors to-from the airport, as well as any other location during their stay in Lima. The transportation service should be made following safety standards established by the UN system and national traffic rules; Perform transport service, carrying documents to and from official and private entities;Keep the Office’s car in good condition, taking care of its cleaning, maintenance and repair when necessary, verifying the proper operation through the checking of oil level, battery, water, tire pressure, brakes etc. and through coordination with the appointed garage and the insurance company, when an incident occurs.Function 3 (incl. Expected results)Assists with Conference services, achieving results such as:
Provide tea and coffee service during events;Maintain and renew water supply and stationery in the conference room;Assist in preparing conference rooms before meetings, ensuring the necessary nameplates, signboards, etc. are in place and help the Technical Assistants distribute documents;Assist in configuring meeting/conference room and cafeteria and its setting up any required equipment as requested;Assist as a technical of sound during the events in the meeting/conference room.Function 4 (incl. Expected results)Provides duties of warehouse manager, achieving such results as:
In the storage room, classify and order office supplies, stationery, printing supplies and cleaning articles;In the archives room, support the classification and distribution of files;Ensure that the flow of activities is maintained, acting as General Services/Custom Clerk/Driver and Cleaner/Messenger, when needed.Function 5 (incl. QUALIFICATIONS AND EXPERIENCE Education

A minimum of one (1) year of experience in general services administration as well as acting as a driver. Possession of valid driving license issued by Peruvian authorities. Sound and safe experience in driving and maintaining motor vehicles.Desirable

It should be noted that this post is to be filled on a fixed-term basis for an initial period of Three (3) years (first year is probationary for an external candidate).
