Job Overview: The temporary Front Desk Assistant position is responsible for front desk duties and a variety of operations administrative tasks during a transition period in the Denver office. The position directly reports to the operations coordinator.
This is a short-term role starting on or after Monday, October 6 and ending on Friday, December 5, 2025. Regular hours will be 8:45am to 4:45pm, Monday to Friday.
Major Responsibilities:
Reception
Open the front desk and office promptly at 9am. Close the front desk according to daily schedule. Greet clients, visitors, donors, job candidates, and other IRC stakeholders at the front desk with a high degree of professionalism. Coordinate with staff across departments to direct calls and walk-in requests to appropriate teams. Work in collaboration with program supervisors and staff to create and maintain a regularly updated collection of local client resources and contacts. Maintain office reception, front desk, and shared conference areas to ensure they are consistently clean and welcoming to all. Complete clean-up tasks each day after the front desk closes. Maintain supply/printer room to ensure printer is working properly and office supplies are well stocked. Receive, sort, and distribute daily mail and deliveriesOperations Support
Monitor and restock office and kitchen supplies. Regularly update the operations coordinator on office and kitchen supply stock level to ensure timely procurement of basic supplies. Maintain office storage rooms and provide support in tracking office inventory (coat closet and other items) and in-kind donations. Serve as the office’s back-up focal point for day-to-day S&S matters and provide support with the office’s safety and security system.Other
Assist with planning and coordinating office events and meetings. Support with coordination of on- and off-site storage needs. Other duties as assigned, particularly on Monday and Friday afternoons when front desk is closed. Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities under pressure. Strong customer service skills: Active listening, de-escalating charged and emotional situations or conversations. Strong analytic problem-solving skills with attention to detail. Excellent verbal and written communication skills as well as an overall ability to be clear and concise in all communications. Strong organizational and time-management skills; proven ability to prioritize and deliver on time in a demanding, fast-paced environment. Hands-on experience with office equipment (printers, security systems, etc.). Ability to work both independently and in a dynamic, cross-functional global team structure. Highly proficient in Microsoft Office suite. Demonstrated ability to work effectively with stakeholders at all levels. Ability to manage and work through change in proactive and positive manner.Language Skills: Fluency in English is required. Bilingual or intermediate level of Spanish or another client language is strongly preferred.
