This is a hybrid position which requires 8 days per month in the office. You will be based in our office in Washington DC. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position. To be eligible for this position, you must be a resident of DC, Maryland or Virginia at the start of employment.

About the Program:

The Executive Office consists of the President and CEO, five Managing Directors, the Chief of Institutional Alignment, and the General Counsel and their support teams. We ensure smooth running of the Institute, excellence in governance and decision making and effective interactions with all our stakeholders, internal and external, towards achieving WRI's mission.

Job Highlight:

Reporting to the Chief of Institutional Alignment, you will support in the administration and team coordination for the Executive Office. You will partner with the Chief of Institutional Alignment and General Counsel on efficient calendar management and prioritization, travel coordination and provision of senior administrative support. WRI’s Executive Office is a fast-paced environment; a successful candidate must be a self-starter who feels confident taking initiative. We seek a detail-oriented, and highly organized individual to provide administrative coordination support to our Executive Office.

What will you do:

  • Provide administrative support to WRI’s Chief of Institutional Alignment and General Counsel including managing calendars, scheduling appointments, making travel arrangements, securing travel visas, answering phones, and drafting correspondence
  • Support Chief of Institutional Alignment and General Counsel in tracking of tasks/meetings/emails and prioritization of tasks to ensure timely follow-up and execution
  • Identify and implement administrative improvements including archiving key documents and records
  • Prepare and monitor expense reports and timesheets to ensure timely submission and approval
  • Update web and intranet sites and review for out-of-date information
  • Support ongoing efforts to improve the Executive Office’s administrative systems and processes, including coordinating closely with fellow team members to help the office run smoothly, avoiding duplication of efforts
  • Additional programmatic and administrative duties as needed including preparation of briefing materials, writing and editing documents
  • Arrange and participate in internal meetings, as assigned; coordinate logistics, develop agendas and supporting materials, take notes, and track follow-up items
  • Working with the Chief of Institutional Alignment and General Counsel, support organizational habits and structures that lead to a thriving institute
  • Participate in administrative and operational communities of practices/institutional meetings

    What will you need:

    • Education: Bachelor’s degree in a related field or a high School diploma with additional years of experience
    • Experience: Minimum of 3 years of relevant professional experience assisting one or more executives
    • Superior organizational skills and attention to detail
    • Demonstrated judgment and problem-solving skills
    • Flexible and able to work independently and accurately or in a team environment
    • Ability to set priorities and solve a range of problems independently
    • Adaptable to rapidly changing priorities and ability to manage multiple projects with varying deadlines
    • Demonstrated capacity to work well under pressure and successfully manage multiple deadlines and competing demands
    • Patience and perseverance in understanding and explaining issues to partners, contractors and other team members
    • Flexibility to attend meetings outside of regular, local business hours on occasions, with notice, to accommodate colleagues in other time zones
    • Excellent communication skills, including the ability to work well in a geographically dispersed team
    • Professional demeanor, superior people skills and ability to maintain confidentiality
    • Project management and computer skills in MS Office (Outlook, Word, Excel, and PowerPoint), web-based communications (e.g., Microsoft Teams, Zoom, etc.)

    • Languages: Fluency in English with any additional language is a plus

      Potential Salary: US salary range is between 69,000 and 73,000 USD. Salary is commensurate with experience and other compensable factors.
