The Role: The Department Coordinator, Global Legal Program (GLP) provides direct administrative support to the Senior Vice President, GLP and the Deputy Director, GLP. The Coordinator manages and facilitates the flow of information to and from the SVP, across GLP, and to and from other departments, interfacing with staff across the Center (in particular other coordinators) in a collaborative approach to deliver on cross-organizational initiatives. In addition, the Department Coordinator will organize and manage external facing engagements for the SVP and other ad hoc special projects for GLP.

This position will be based in Geneva, Switzerland.

Primary Responsibilities:

  • Provide administrative support to the SVP and the Deputy Director including calendar management, meeting logistics, travel coordination, and expense reporting and reimbursements;
  • Serve as a positive and collaborative liaison across the organization, and work across departments with other coordinators to facilitate and contribute to improved cross-organizational systems and processes;
  • Support cross-regional information sharing and communications;
  • Maintain and update the GLP SharePoint site;
  • Maintain departmental calendar, noting staff travel, upcoming events, pending litigation, etc.;
  • Monitor, maintain, and update all GLP listservs;
  • Coordinate monthly GLP team meeting and other departmental events, meetings, or convenings, as needed;
  • Support GLP to prepare for meetings through materials and presentation preparations;
  • Support the quarterly program reporting and budgeting and help manage the budget of the Senior Vice President;
  • Support in onboarding new staff and interns and orienting them to the department and Center;
  • Provide support to GLP Leadership Group meeting series, including compiling reports and meeting logistics;
  • Maintain a high-level understanding of GLP initiatives and timelines, and hold broader department accountable to meeting deadlines; and
  • Other tasks and special projects as assigned.

Qualifications:

  • University Degree (baccalaureate or higher) in relevant field
  • 5+ years of relevant work experience: Interest and experience in administrative work
  • Experience working with a global team and coordinating across regions/locations
  • Demonstrated commitment to the mission
  • Flexibility and ability to work professionally in a fast-paced environment
  • Fluency in Word, Excel, PowerPoint, and Outlook
  • Familiarity with Concur, SharePoint, Skype, PowerPlan a plus
  • Technological savvy and eagerness to learn new platforms
  • Project management skills for planning, implementing, and reporting-and ability to hold others accountable for meeting deadlines
  • Excellent interpersonal skills with the ability to work independently as well as part of a team
  • Excellent written and verbal communication skills
  • Self-motivation and the ability to work independently, while also collaborating in a team setting
  • The ability to complete assignments in a timely manner, often under considerable time pressure, and to manage multiple projects simultaneously
  • Commitment to human rights, reproductive rights, and/or women’s rights generally

Compensation: The salary for this role is 83,000 CHF per year. The Center also offers a comprehensive benefits program and generous PTO offering.
