The Water Management Institute (IWMI) is seeking a dedicated and detail-oriented Consultant - Project Coordinator to support the Water Data Science Strategic Program. The Project Coordinator will play a pivotal role in ensuring the effective execution and delivery of project activities and will also be working closely with the Strategic Program Director and Research Group Leaders for Water Data Science for Actions and Water Futures Data and Analytics, consultant will provide essential administrative, logistical, and operational support.

SCOPE OF WORK:

The primary objective of the Consultant is to ensure the smooth implementation, tracking, and reporting of project activities. This role will facilitate timely communication, coordination, and documentation to achieve project goals and objectives.

DUTIES & RESPONSIBILITIES:

Project Planning and Coordination

Assist in the development of project plans, timelines, and deliverables. Coordinate with internal and external stakeholders to ensure project alignment and timely completion of activities. Support the development of Terms of Reference (ToR) for new project activities, consultants/interns, and service providers. Monitor project milestones and flag any risks, delays, or issues to the Strategic Program Director and Research Group Leaders. Work closely with Portfolio Managers to track project budgets, staff time allocations, and reporting.

Administrative and Logistical Support

Organize and schedule project meetings, workshops, and events, including preparing agendas and taking minutes. Maintain a detailed project calendar and track deadlines. Manage document control to ensure proper filing and sharing of key project documents, deliverables, and correspondence. Work closely with IWMI administrative and HR staff to coordinate hiring activities under the project. Support travel coordination (e.g., air travel and accommodation requests) and submit invoices, receipts, and financial statements as needed.

Monitoring, Evaluation, and Reporting

Track progress on project deliverables and ensure timely reporting of key milestones. Support the preparation of progress reports for donors, partners, and internal stakeholders. Assist with data collection, analysis, and visualization for internal and external reporting.

Communication and Stakeholder Engagement

Facilitate communication with project stakeholders, including donors, partners, and collaborators. Provide support in preparing presentations, project briefs, and updates. Respond to stakeholder queries in a timely and professional manner.

Risk and Issue Management

Identify potential risks or challenges to project delivery and discuss mitigation measures with the Project Leader. Maintain a risk register and regularly update the project team on emerging issues.

Requirements

MINIMUM EDUCATIONAL QUALIFICATIONS:

Bachelor\u2019s degree in project management, Business Administration, Water Management, Environmental Sciences, or a related field. A master\u2019s degree is an advantage.

KNOWLEDGE & EXPERIENCE:

Minimum of 3 years of experience in project coordination, preferably within the water management, research, or development sectors. Demonstrated experience supporting senior managers, coordinating multi-stakeholder projects, and ensuring timely delivery of outputs.

SKILLS AND ABILITIES:

Excellent project management, planning, and organizational skills, with a preferable understanding of Agile project management. Strong written and verbal communication skills in English. Ability to manage competing priorities and work under tight deadlines. Proficiency in project management software (e.g., MS Project, Trello, or similar tools). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). High level of integrity, confidentiality, and professionalism. Detail-oriented with a proactive and problem-solving mindset. Ability to work both independently and as part of a diverse, multicultural team.

LANGUAGE PROFICINECY:

Excellent oral and written language skills in English, including effective listening and strong verbal and written communication abilities.
